A true partner at heart, you will ensure that no commitments are dropped, identify and remove bottlenecks and identify the highest priorities and greatest impact, structuring their day around these, while also ensuring they have time to think. You will become the trusted owner of their inbox, significantly reducing their time spent here by prioritizing replies, "joining the dots" between interactions and proactively creating messages for reviewing and sending. By freeing the CEO you will create the space to enable the CEO to build strong relationships with the Leadership Team, and focus on the future, which we know has a direct impact on culture and engagement and is at the forefront of the Medik8 mindset. **In more detail your role will include**: - Manage diaries and complex scheduling for the CEO and where appropriate, direct reports to the CEO. Support across all elements, including organizing meetings and appointments (often proactive as discussed and agreed in meetings without specific requestsfrom), meeting logistics and relevant follow ups which may also include anticipating preparation and post meeting blocked out time. - End to end management of all meetings chaired by the CEO (i.e., weekly and monthly leadership meetings, Board meetings, other leadership meetings etc). This includes managing attendees, creating agendas in advance, all logistics, and ensuring attendeesare all set up for the meeting to be as effective as possible. - Attend meetings to capture minutes and actions and cascade these to relevant parties in a timely manner. Support the CEO on the completion of their action items to ensure commitment is met. - Manage the coordination and completion of content for the monthly Board reporting pack, and annual operating plan pack from relevant internal stakeholders and provide additional business reports as needed for the CEO to ensure business performance and understandingthe key topics and projects and progress thereof. Assumes responsibility for any final edits to ensure look and feel is both on brand and error-free. - Deal with correspondence and phone calls from internal and external stakeholders and translating this into the business needs to ensure the associated time is allocated and planned for. - Manage and coordinate travel related activities including hotel bookings, transport, and meal coordination for the CEO. Manage all associated administration and expenses claims from direct reports to CEO on their behalf to aid efficiency of CEO. **We would love to hear from you if you..** - Have the strongest attention to detail; you must be passionate about excellence across all tasks completed, in both yourself, and others. - Have previous experience of managing C-suite level interactions, ideally with multi-geography (culture and time zones) experience - Have proven experience working in a confidential environment and exercising discretion when interfacing with the business. - Have strong writing skills, and proven experience with effective stakeholder management and using appropriate communication strategies. - Have proven experience of using Google products. Experience of Microsoft products is not required but advantageous. - Are experienced in remaining calm, composed and concise; thoughtfully managing a high and varied workload. **About us** We believe that our People make Medik8 who we are.
