**JOB TITLE: MEDICAL RECEPTIONIST & ADMINISTRATOR**
**REPORTS TO: Patient Services Manager / Practice Manager**

**Job Summary**:
To ensure that enquiries from patients are efficiently and courteously handled and to effectively assist and direct them to the most appropriate service or healthcare professional.
To ensure that filing, record keeping, and distribution of documents is undertaken efficiently and promptly.
Provide general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

**Responsibilities**:
**Administration**
- To have a thorough knowledge of all Practice procedures.
- To work in accordance with written protocols and keep abreast of changes.
- Maintaining physical and computerised medical records including adding new patients, recording changes of address and other personal details, filing documents, and retrieving notes required by other members of the Practice team.
- Maintain the daily boards and the reception diary and ensure messages and actions taken are passed on.
- Prepare the outgoing bag and ensure specimens & urgent letters are ready for daily collection.
- Photocopy as requested & ensure incoming documentation are passed on promptly.
- To receive the incoming bag of (internal) hospital post and the external post on a daily basis.

To open, date stamp and distribute all mail promptly according to practice policy.
- Process any docmail letters on a daily basis, prepare and frank outgoing post and ensure it is posted in a timely manner.
- Scan, process and complete all incoming correspondence via Docman.
- To support the Secretarial and Administrative team with Patients, GPs, and other health professionals’ requests. This includes the dealing with general letters, reports, patient referrals, 2-week rules etc and ensuring correspondence and tasks are actioned and processed in a timely manner and according to practice protocols.

**Reception**
- Respond to incoming telephone calls promptly and re-direct as required.
- To respond to general enquiries (either face to face or via telephone) and explain surgery procedures.
- Receive and action requests for repeat prescriptions to patient, either paper or electronic prescriptions. Ensure prescriptions are signed and ready for collection.

- Process appointment requests for today and future appointments from patients by telephone and in person.
- Deal with home visit/ telephone call requests & prepare printouts.
- Restore telephone services each morning in a timely manner and ensure the answerphone service is properly activated at the end of the day. Have working knowledge of telephone system both during and after hours.
- Complete the daily opening & closing checklist.
- When on the front desk be aware of patients waiting, keeping them informed of any delays, deal with pharmacy collections, empty repeat prescription box, prompt patients to complete questionnaires (travel / new patient / health checks / GP survey etc) when appropriate.

Reporting any housekeeping issues to the Patient Services Manager
- Prepare rooms for next surgery by re-stocking printers and ensure correct nameplates on doors.
- Ensure the waiting room is left tidy and ready for use and inform Patient Services Manager of any issues. Maintain a supply of magazines for patients and update and review posters and leaflets on display,
- Ensure building security - have thorough knowledge of doors/windows/alarm.
