**Job Title**: Operations Support Administrator

**Responsible to**:Operations Manager
**Responsible for**: The co-ordination of inbound client products, collation and assembly of orders and liaising with the clients’ end-user and scheduling onward delivery of orders.
Dealing with inbound telephone calls
Management of client storage, including inventories and ensuring billing is done.
Deputising and assisting the Operations Manager.
Providing holiday and sick cover for invoicing, crate management etc.
Co-ordination and management of RHT resources.
**Liaison with**: Dealers, Manufactures and End-User clients, Operations Manager,
Account / Project Managers, Invoicing Clerk, Sales Administrator, Team
Leaders, Warehouse Supervisor, Senior Fitters and Fitters.
**Main Purpose of Job**:
To Consistently and Reliably provide services of the highest quality to meet and exceed the expectations of our clients and your work colleagues,
To lease with RHT clients (Dealers, Manufactures and Direct Clients).and to our clients’ end
- users to co-ordinate and arrange receipt and onward delivery of product passing through the operations centre.
To process all associated documentation, goods receipt notes, client delivery notes and electronic information to complete the successful onward delivery and report the results to our clients.
Lease with the Warehouse Supervisor, Delivery Teams and End-User clients.
To cost effectively plan onward deliveries to ensure RHT resources are utilised in the most efficient way.
**Main Tasks of Job**:
- Receiving goods-in documentation from the warehouse.
- Entering goods received information into the operations system.
- Liaise with Dealers, Manufactures and End User clients to co-ordinate the receipt and onward delivery of orders.
- Support clients to provide a high-quality service.
- Inform clients of damages or short deliveries
- Prepare delivery notes for onward deliveries.
- Telephone end-used client to schedule deliveries.
- Prepare quotations for men and van deliveries
- Plan daily delivery routes in conjunction with the Operations Manager.
- Prepare all documentation for daily deliveries.
- Ensure project and job paperwork is completed to company standards
- Process returned / signed delivery notes from successful deliveries and copy to RHT trade clients.
- Create and update Client storage inventories
- Report any delivery snagging issues in a timely manner.
- Ensure that deliveries not completed are re-scheduled for priority delivery
- Archive delivery records
- Full use of company IT systems
- Be able to provide Risk assessment and Method statement as required by clients and communicate with staff.
**Key Skills**
- Have a good level of written and verbal communication skills.
- Have a good professional telephone manner.
- Always be courteous, professional and helpful to clients and work colleagues.
- Be competent in all company’s IT systems (Microsoft office, MoveMan etc.)
- Be able to prioritise, work to deadlines and work effectively under pressure.
- Ability to work collaboratively with colleagues.
**Standards**:
- Ensure that company equipment is kept safe and returned to store after use.
- Ensure that you act in an appropriate manner to give visitors and clients the correct impression of a professional, quality organisation.
- Present yourself as professional, helpful and competent to clients and staff.
- Ensure that Company property is maintained at the highest level and faults and defects are promptly reported.to your line Manager
- Ensure that company equipment is kept safe and returned to store after use.
**Health and Safety**:
- Ensure you always give clients and visitors the correct impression of a quality organisation. To further this aim, it is essential that company property under your control is maintained at the highest level.
- You need to be aware of your obligations under the health and safety at work act of
1974 and report any faults or defects promptly to your health and safety representative.

**Salary**: £21,000.00 per year
