Administration Officer

Our client, a maritime training provider based in Glasgow, are looking for an Administration Officer to join their team on a 12 month fixed term contract. A demanding and diverse role within a very busy department, this position would involve offering a fully comprehensive service to its many prestigious clients.
As Administration Officer, you must hold the ability to build strong relationships with clients and cadets to develop confidence and trust in order to maintain a long-term working relationship. In addition, the Administration Officer will offer strong administrative support in order to achieve Company objectives, ensuring the Company exceeds customer requirements.
**THE SUCCESSFUL APPLICANT**
**Essential**- Sound education at Standard Grade level or equivalent-
- Comply with GDPR regulations and hold the ability to maintain confidentiality at all times-
- Ability to communicate clearly and comply with ISO standards-
- Professional & pleasant telephone manner-
- Good team attitude: someone who is reliable, flexible, and adaptable-
- Attention to detail with methodical approach to work and the ability to work effectively under pressure**Desirable**- Previous experience of working in a busy office atmosphere and devising and implementing administrative procedures**DESCRIPTION**- Provide administrative and clerical support for the department-
- Assist in the organisation of company presentation/meetings/career events-
- Build good relationships with clients with the use of effective communication and excellent customer service-
- Gain and develop good general knowledge of client companies and their contract requirements-
- Respond effectively & efficiently to all client/cadet queries-
- Escort cadets to London on Visa Trip as per internal rota-
- Answer and transfer incoming phone calls to relevant staff-
- Help devise, develop, implement & maintain good administrative practices by:- Organising joining instructions for all seagoing/college phasesPrepare joining instructions for all induction Trainees-
- Ensure new Trainee Checklist is updated-
- Administer Annual Intake sheets-
- Prepare copies of documentation for clients advising them details of their new Trainees-
- Help arrange initial medicals-
- Arrange initial and random drug & alcohol tests-
- Collate and distribute payslips-
- Processing and ensuring Trainees have correct documentation prior to going to sea**REMUNERATION PACKAGE ON OFFER**
