This position will maximise the effectiveness of BioClavis by streamlining operational procedures with a particular focus on reducing bureaucratic load on BioClavis scientists, thus maximizing scientific productivity.

The Office Admin will promote a positive working environment within the offices and laboratories of BioClavis and support site manager. The Offie Admin will at all times represent the interests of BioClavis to the highest possible professional standards.

This position is responsible for areas of Finance, HR and Operations (including all policies and procedures relating to Health and Safety).

**Finance**

To maintain the financial records of BioClavis.
- Produce monthly management accounts for BioClavis
- Responsible for financial compliance and grant submissions for BioClavis including liaising with external auditors
- Responsible for all financial invoicing, quotes and purchase orders
- Responsible for quarterly VAT returns
- Responsible for monthly payroll and pension submissions
- Liaison with external Tax advisors:

- to ensure BioClavis receives the correct R&D tax credits (RDEC)
- to ensure the production of year-end statutory accounts and corporation tax return
- Management of xero including the reconciliation of the BioClavis bank account and expense reporting
- Management of capex budget and depreciation
- Ensure BioClavis and BioSpyder has an efficient and effective financial working relationship
- Provide necessary documents and information for external customerauditing
- Contribute to financial forecasting and strategic planning for the future of BioClavis
- Prepare Financial Year-End Planning
- Other duties as required for function of the business’ finances

**Human Resources**

Responsible for HR infrastructure within BioClavis.
- Responsible for employee records, job descriptions, holiday records and sickness records
- Ensure BioClavis has an up-to-date Staff Handbook and associated policy documents
- Ensure that each BioClavis employee has an annual staff appraisal and objectives linked to company objectives and personal development.
- Maintenance of staff training records and ensure training is in place for staff development
- Provision of consultancy contracts
- Responsible for the generation and implementation of a recruitment strategy for BioClavis
- Ensure BioClavis has a GDPR policy compliant with UK legislation
- Ensure BioClavis gets optimal value from external HR and H&S consultant
- Other duties as required for function human resources

**Operations**

Responsible for smooth running of BioClavis operations
- Ensure BioClavis is compliant with UK H&S laws as pertaining to policies and procedures, in compliance with HSE guidelines
- Efficient running of office and lab space through positive working relationship with the landlord
- Manage the maintenance records of BioClavis equipment, including servicing and PAT testing
- Ensure BioClavis has an efficient shipping procedure and courier in place for shipment of samples to customers
- Provide strategies to increase the efficiency of BioClavis operations.e.g.
- Ensure BioClavis has a customer data sharing portal
- Responsible for delivery of regulatory strategy
- Other duties as required for function of operations

BioClavis Ltd is a Glasgow-based spin-out of USA based BioSpyder Technologies, Inc. BioSpyder has developed a novel product for targeted sequencing called TempO-Seq, a gene expression profiling tool designed to monitor hundreds to thousands of genes at once in high throughput. TempO-Seq can analyse expression in samples with thousands of cells or from single cells without pre-amplification, maximizing utilization of precious or limited samples. TempO-Seq assays deliver an easy-to-use solution for customers doing expression profiling for any species. BioClavis LTD is based in Clydebank.

**Salary**: £25,000.00-£29,000.00 per year
