We are a small and very busy team responsible for the day to day management of many blocks of flats in the local area.

**Responsibilities**:
**Administration**
- Receiving and responding to incoming calls
- Scanning & filing of certificates and paperwork
- Distribution of newsletters to residents
- Keeping our database up to date on a daily basis
- Office administration such as inward and outward-bound post, ordering of stationery & consumables

**Insurance**
- Processing renewals of insurance policies
- Ensuring all our contractors have up to date liability insurance and a record is kept on file
- Co-ordination of insurance claims

**Contracts**
- Issuing contracts to our clients & contractors
- Renewal of plant, equipment & utilities contracts

**Accounts**
- Distribution of service charge & ground rent invoices to the clients
- Processing of any payments made to the office
- Dealing with any service charge or accounts queries
- Chasing of arrears and processing solicitor debt recovery
- Processing of contractor payments
- Passing year end accounts to directors for signing
- Distribution of year end accounts to clients

**Maintenance**
- Handling routine and repeat maintenance tasks including cleaning and gardening
- Handling minor repairs

**Fire Health & Safety**
- Distribution of letters to leaseholders
- Arranging signs for the buildings
- Updating of any action points

**Experience**:

- Proven experience in an admin role
- Proficiency in using computerised systems for data management
- Strong organisational skills with attention to detail
- Excellent phone etiquette and communication skills
- Ability to perform data entry accurately and efficiently

**Job Types**: Full-time, Permanent

Schedule:

- Monday to Friday

**Education**:

- A-Level or equivalent (required)

**Experience**:

- Administrative experience: 1 year (required)
