35.25 Hours per week (Mon - Thurs 8.45-5pm, Friday 8.45-4pm).

**_Purpose of the role:_**
We are looking for an eager, hardworking and enthusiastic administrator to join our professional and growing team. You will be responsible for the administrative processes, tasks and duties within our L'Derry branch and act as a pastoral care officer to a large cohort of learners within the training centre.
You will need to be a good communicator and be able to connect effectively with learners with a range of abilities and motivation, key stakeholders including employers and placement providers and maintain important relationships with varying parties. Pastoral care is a key factor within this job as you will be working with young learners on a daily basis and therefore need to show compassion and understanding at all times. You will need to have a listening ear, have a willingness and want to help make a different to young peoples' lives.
As an administrator, you will have a key role within our organisation's infrastructure in maintaining the efficiency of the day-to-day running, organisation and operations within our very busy training centre. You will have the responsibility of ensure that adminsitrative activites are completed on time and to a high standard, and therefore need to be organised and have high levels of literacy and numeracy. You will be entrusted with tasks of vital importance and have a high level of responsibility. You will be a key member of staff in providing support to other employees throughout the entire organisation and across other branches.
In our training centre, there are a significant amount of administrative tasks which need completed and maintained for each individual learner. This includes the completion and storage of confidential documentation, maintenance of learner records and carrying our regular quality audits to ensure all information is up to date and relevant. You therefore need to be an organised, competent and a conscientious person to fill this role.
This role will be challenging but highly rewarding. You will work as part of a dedicated team in an enjoyable working environment and be a key member of our organisation.
**_Essential Criteria:_**
- 3+ years previous administrative experience.
- Min of 5 GCSEs grade A-C including Maths & English or equivalent.
- Excellent literacy skills and attention to detail.
- Show professionalism and be enthusiastic and motivated towards work.
- High levels of pastoral care, understanding and compassionate.
- Excellent communication and organisation skills.
- Ability to meet deadlines and work under pressure.
- Ability to work flexibly and effectively as a member of a team.
- Ability to utilitse ICT within administrative processes.
- Ability to work using own initiative.
- **Main Responsibilities**:_
- Be able to work in a busy, dynamic working environment.
- To update and maintain both paper and computerised documents and records.
- Data input into a number of specialised computer programmes.
- Recording keeping and completing paperwork to a high standard.
- Carrying out regular audits.
- Prioritise the needs and welfare of the young people within the training centre.
- Maintain confidentiality at all times.
- Liaise between trainees, staff and management team.
- Liaise with employers and placement providers.
- General administrative duties including drafting letters, filing, photocopying, scanning and operating the telephone switchboard.
- Be organised, confident and proficient in using Microsoft packages.
- Be friendly, outgoing, helpful and self motiviated.
- Have a desire to do well and have a willingness to help.
