**The Role**:
To support the business in all areas of administration; to provide a professional and personable first point of contact for all enquiries, both over the phone and in person; to streamline administrative processes to be more efficient and effective.
Due to the nature of the role, a high level of confidentiality is required.
**Key Responsibilities**:
- **Reception**- Answering the entry phone and ensuring relevant paperwork is completed.
- Answering the main LTi phone.
- Meeting visitors, coordinating refreshments.
- Ensuring Covid measures are adhered to.
- **Office administration**- Management of meeting rooms (bookings and housekeeping)
- Overseeing incoming and outgoing mail
- Upkeep of office space, ensuring a high presentation at all times
- Updating company notice boards
- **Office supplies & stock control**- Ordering and overseeing distribution of stationery
- Ordering workwear and managing the uniform cupboard
- Ensuring kitchen is stocked with milk, tea, coffee and sugar, ordering more when required
- **Event management**- Assisting in organisation of social events eg summer gathering, Christmas party, food trucks
- Managing and distributing Christmas and birthday gifts, Company Christmas cards
- Organising and communicating regarding upcoming Company Update Meetings
- **Assistance to the MD**- Travel coordination including flights, hotels, taxis and itineraries
- Point of contact for queries on MD's diary
- Company car maintenance (booking of services, tyre replacement etc)
- General administrative support
- **Departmental support**- Finance eg. payroll distribution, filing, data entry
- HR eg. assisting in maintaining records and the time and attendance system, interview organisation
- Purchasing - Purchase Order entry, price comparisons
- Production/Planning - data entry, spreadsheet maintenance and analysis and updating ERP system
- Educated to A Level or equivalent such as an Apprenticeship or Diploma
- Proficient user of Microsoft Office (Word, Excel and Outlook)
- Excellent written communication skills
**Day to Day**:
- Take responsibility for aspects of Occupational Health & Safety (OH&S) over which they have control.
- Adhere to the Company's OH&S requirements (defined in OH&S policy, risk assessments, work instructions and through training, etc.).
- Take reasonable care for their own health and safety.
- Consider the safety of other persons who may be affected by their acts or omissions.
- Work in accordance with information and training provided.
- Refrain from intentionally misusing or recklessly interfering with anything that has been provided for health and safety reasons.
