**Job Title: Wedding Coordinator**
We are open to hiring two part-time co-ordinators or one full-time co-ordinator for the position.
Managing all aspects of our bespoke weddings from an initial enquiry, through the booking process, to coordinating the set-up and delivery of an enchanting wedding day that exceeds the high expectations of our couples.
**Key Tasks & Responsibilities**
- Lead venue viewings and introductory video calls, to promote Royle Forest and build positive relationships with prospective clients
- Lead planning meetings with couples, both virtually and at the venue
- Advise, create and deliver a bespoke timeline for a wedding day, ensuring it perfectly reflects the couple and their vision
- Ensure files, folders, planning systems and paperwork are maintained and kept up to date
- Liaise with the Accounts Manager with invoicing and payments
- Communicate effectively with suppliers to confirm details such as arrival times, on-site requirements and services
- Oversee all event logistics, from the set-up day, through the event day to the close of the wedding
- Brief staff prior to a wedding and lead them effectively throughout the day to ensure they are smartly presented, providing an excellent service and delivering the event brief as required
- Manage the Ceremony, Drinks Reception, Wedding Breakfast and Celebrations with the support of The Bar Manager, Bar Team and external suppliers, where applicable
- Be ready to handle any unforeseen situations or conflicts that arise during the event and address any last-minute challenges or emergencies
- Ensure staff are deployed correctly and effectively during the day to enable the schedule to be executed on time
- Make amendments to schedules, if needed, to ensure a continued smooth delivery of the couple’s vision.
- Maintain the health, hygiene, safety and security of the venue at all times and report any accidents, issues, damage or breakages
- Assist with organising and running Wedding Fayres and events throughout the season, developing relationships with prospective and existing couples, as well as vendors and suppliers
- Oversee client, guest, supplier and staff satisfaction and act as an ambassador for the Royle Forest brand at all times.
- Anything else required to deliver exceptional weddings at Royle Forest
- Must work weekdays and weekends
**Knowledge, Skills and Qualifications**:
- **Experience**: 3+ years of experience in event planning, hospitality, or wedding coordination. Experience of working within the outdoor weddings industry is preferable but not essential.
- **Skills**: Strong organisational, communication and problem-solving skills are essential. The ability to be flexible, work well under pressure and manage multiple tasks as well as a team of staff during an event. Be able to prioritise tasks and demonstrate effective time management. An excellent level of Literacy and Numeracy is essential, as well as being IT savvy, although training will be given on the IT programs we use.
- **Presentation**- Present self in a friendly, approachable and professional manner at all times. Set an example to other staff members with smart appearance, in line with the Royle Forest brand.
- **Attention to Detail**: A keen eye to enable the smallest of details to be noticed and rectified, to ensure every wedding is planned and executed flawlessley.
- **Interpersonal Skills**: Be friendly, confident and approachable, demonstrating a high level of professionalism when interacting with colleagues, clients, suppliers, and guests. The ability to set a good example to a team of staff, have high expectations of them, lead them effectively as well as being an excellent team player.
- **Flexibility**: Willingness to work daytime, evenings, weekends, Bank Holidays and long hours on wedding days. Seasonal hours will vary.
**Working Environment**:
- There are offices for planning and as a base for out-of-season months. The role is a mixture of office-based hours for planning, preparation, sales and admin tasks as well as presence at the venue location for set-ups, weddings and events.
**Job Types**: Full-time, Part-time
Pay: £13,750.00-£27,500.00 per year
Expected hours: 21 - 42 per week
