**Background**:
The post of Administration Assistant is an existing post. The post holder will be responsible for maintaining the delivery of a high standard of work.

**Main Purpose of Job**:
To perform general administrative duties and provide administrative support as required. To assist in the day to day running of the office and assist the Children’s and Youth Services Manager in the running of the Project.

**Administrative duties**:
1. Operating and maintaining comprehensive and administrative systems ensuring compliance with departmental policies and procedures.

2. Undertaking a broad range of administrative tasks.

3. Prioritise specific administrative tasks

4. Updating and imputing Children and Youth Services monitoring systems.

5. Liaise with other Children and Youth Service staff, where necessary, in the implementation of the running of the Service.

6. Liaise with external bodies and organisations such as Schools, Health Providers, Councils and Social Services.

7. Liaise with the families of the Service users and address their concerns.

8. Maintaining filing and archiving, keeping records and information up to date and in good order, including Client User Profiles, Staff Pay Claims and Sickness and leave entitlement forms, and all other relevant filing and record keeping. To ensure confidentiality in line with the Data Protection Act

9. Working with the Service Manager to assist in the organisation and preparation of specific annual events and activities, such as Holiday Schemes. This will include: analysis of data, such as lists of attendees for the Holiday project, and ensuring that the Project is promoted and that all information relating to service users is correct and up to date. Assisting the service Manager in the day to day provision of a programme of varied and interesting activities and outings during the Holiday Scheme.

10. To actively partake in the implementation of all Schemes throughout the year.

11. To work with the Service Manager to keep all petty cash records and receipts up to date.

12. To assist the Service manager with the organisation of the Service users transport to and from the Project, and to keep transport providers updated on changes to client addresses.

13. To attend regular service meetings as and when required.

14. To be willing to attend any training relevant to the job role.

**General Roles and Responsibilities**

1. As Administration Assistant you will be expected, where reasonable, to be flexible in your approach to your work duties. Your job is to perform administration tasks that will enable the Tower Project Children’s & Youth service team to function.

2. You will be expected to be professional in your approach to your duties and to carry out your work in a competent manner to the best of your abilities.

3. To adhere to the organisation’s Equal Opportunities and Health & Safety Policy

4. To observe and operate the organisation’s practice guidelines, systems and requirements as set out in the Staff Handbook and other policy, procedure and quality documents and statements

5. To undertake, in the interest of the smooth running of the organisation, any other duties as may be reasonably required from time to time.

6. To be flexible and accommodate service requirements during scheme times, and to be aware that core hours may change during scheme times where necessary.

**Job Type**: Part-time
Part-time hours: 25 per week

**Salary**: £11.05 per hour
