To provide a comprehensive clerical and administrative support to Women’s Services Governance Team across the range of duties and responsibilities, in order to ensure that the service is provided within defined quality standards as directed by the Womens Services Service Manager and Women's Lead, Clinical Risk & Governance Officer.

To provide administrative support to the Women’s Information and Governance Programme and projects. Maintain project action plans, risk registers and associated project documentation. Support the Governance Secretary and Women's Lead, Clinical Risk & Governance Manager with implementation of new systems and governance processes.

To contribute to the Women’s Services Information & Governance Programme in ensuring the database and Systems are cleansed, utilising the systems reporting mechanism to run various reports to support the completion of Key Performance Indicators arising from the Women’s Information and Governance Programme for LHB and national update reports.

To provide secretarial and clerical support to the Women's Lead, Clinical Risk & Governance Manager and Governance Secretary. The post holder under the direction of the Governance Secretary will be required to produce regular statistical and other analyses for reporting purposes.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

- Provide administrative and clerical support to the Women’s Governance Team, across the range of duties and responsibilities, in order to ensure that the service is provided within defined quality standards; organising and making arrangements, typing and distribution of documents and reports, recording information and filing, ensuring that all information and documentation is produced to expected standards of performance, and according to agreed timescales as directed by the Women’s Lead, Clinical Risk and Governance Manager.
- Assist the Women’s Lead, Clinical Risk and Governance Manager in the implementation of new protocols.
- Arranging meetings relating to Risk Reviews including taking Minutes / notes, collating papers, agendas. Distribution of minutes and relevant correspondence. Deal effectively with individual requests from the Chairs of the groups in an efficient manner.
- To be tactful and diplomatic when receiving concerns from staff including medical team. The post holder will use discretion to decide what questions they can answer and those that need to be referred to the Women’s Lead, Clinical Risk and Governance Manager.
- To set up and maintain relevant documents on the BCU Shared Drive. Liaising with panel members on a regular basis regarding availability and scheduling panels. Ensuring relevant information is uploaded in a timely fashion.
- Maintain project action plans, risk registers, highlighting any Issues / Risks that may need to be considered for escalation by the Women’s Lead, Clinical Risk and Governance Manager.
- Provide administrative support to the Women’s Lead, Clinical Risk and Governance Manager in producing agenda and documents, chasing any progress reports and actions on their behalf.
- Facilitating meetings, arranging meetings as directed, notifying attendees, circulating and distributing agendas and papers for Women’s Services Governance Groups as directed.
- Report generation, ensuring accuracy and compliance with agreed deadlines and protocols for in relation to Information and Women’s Services Governance.
- Collate and data/information in order to contribute to quarterly and annual reports with action plans which contain information on information and governance issues including compliance against key targets.
- To regularly compile reports and provide information for inclusion in compliance reports in relation to Information and Governance issues, on an ad hoc basis, often at short notice.
- Assist in the updating of Women’s Services Organisational Development intranet pages and share-point.
- Support the Women’s Information and Governance Team to ensure that the overall team meets its objectives/priorities.
