**Job Role**:Service Services Administrator
**Location**:Roaming - covering our branches in Guiseley, Bramley, Harrogate and Ilkley
**Overview**:Full Circle Funerals is proudly independent and female led, our Funeral Directors offer a completely flexible and transparent service. We feel that it is important that people are enabled to choose a funeral which truly reflects the individual that has died and that they are empowered throughout the whole planning process.
**Salary**: £24,205 + on call allowance
**Communication**:
- To communicate with clients, colleagues and external parties in relation to the effective running of the service
- When confident, to provide information to clients relating to the processes involved after a death
**Planning and Organising**:
- To order and monitor delivery of items in relation to the funeral service
- To coordinate, the staff required on the day of a service and coordinate the use of casual staff where needed
- Ensuring that the diary is manageable for all staff to follow
- To undertake any duties required on the day of a funeral service - including, pall bearing and driving
- To update the phone system as per the rota
**Operational management of the services**:
- To contribute to keeping the services clean, well-presented and welcoming at all times
- To contribute to making sure that the office is well stocked, organised and that anyone supporting families from the service would be able to locate the paperwork and documents / folders that they need
- To ensure that Full Circle policies and procedures are adhered to at all times
- To support Funeral Directors by inputting data into the Funeral Management Software, as requested
- To support Funeral Directors by reviewing and auditing funeral files after the funeral has been completed and ensuring that Funeral Management Software has been updated completed
- To contribute to the on-call rota in an equitable manner
- Maintaining office and building security including shared responsibility for opening/locking up premises
- The safe management of cremated remains
- To support funeral directors with the safe management of personal items
**Care of the person who has died**:
- To transfer the person that has died into our care where required (and facilitate other transfers of care, for example at the coroners request)
- To complete identification checks on the person that has died in line with procedural requirements
- To undertake any hygiene care as required, including the cleaning and dressing of the person that has died and any other tasks that may be required
- To ensure that the person that has died is presentable for visiting when required
- To support visits within services, ensuring that this is completed as requested by clients and in collaboration with the funeral director
- To ensure that all documentation is completed as required in relation to the care of the person that has died
**Fleet and Quality Assurance**:
- To maintain and improve the management of the company fleet and ensure the vehicle and drivers policy is adhered to across the organisation
- To lead in managing the fleet logistics, booking system and ensure that company cars are at the correct place at the correct time
- To lead in the booking of all annual maintenance and repairs, and as and when required
- To contribute to the quality assurance cycle as requested by Support Services Manager or Company Director
- To ensure that all service and vehicle audits are completed effectively, and any necessary actions are completed in a timely manner
**Awareness, marketing and community engagement**:
- To identify and contribute to opportunities to raise awareness of funeral choices and share knowledge about funerals and funeral care
- To contribute to supporting people undertaking work experience at Full Circle
- To take part in community events to have a positive impact locally, share knowledge and empower people and raise brand awareness of Full Circle
- To contact clients we have supported to request feedback and reviews and manage them effectively internally
- To update and audit our website as directed by the Support Services Manager
- To create picture thumbnails to be used in marketing activities
Pay: £24,205.00 per year
