Part-Time Property Coordinator - Coventry Based (Managing Coventry In-Person & Oxford Virtually)

**About Us**
We’re a growing property management group offering shared housing to students and professionals across Coventry, Oxford, and other cities. With 100+ rooms, we’re hiring a reliable, independent, and highly organised part-time coordinator to take ownership of our Coventry operations and support the Oxford portfolio virtually.

**What You’ll Do**
This is a part-time role ideal for someone with experience in property coordination, operations, or facilities management. You’ll manage 150+ rooms in Coventry directly and coordinate the Oxford portfolio virtually. You will be fully accountable for operations, cleanliness, tenant experience, and contractor performance across both regions.

Key responsibilities include:
**Coventry (in-person)**
- Full operational management of nearly 125 rooms
- Property inspections (check-ins, check-outs, maintenance follow-ups)
- Coordinating cleaners, contractors, and tradespeople
- Managing viewings, key handovers, and property readiness
- Capturing and submitting property photos/videos, reports
- Handling tenant queries and service issues directly
- Overseeing cleanliness, maintenance, and presentation standards

**Oxford (virtual)**
- Coordinating with Oxford-based viewing agents, inspectors and contractors
- Maintaining shift rotas, service schedules, and issue resolution
- Following up on task completion and ensuring quality remotely
- Supporting the local Oxford team with CRM updates and operational guidance
- Acting as the central point of communication and problem-solving

**General Responsibilities**
- Updating the CRM, logging invoices, and ensuring council compliance
- Onboarding new properties (walkthroughs, inventories, setup)
- Ensuring every task and house meets brand standards and legal compliance
- Creating and maintaining rotas for agents and on-site contractors
- Operating independently and proactively, without needing day-to-day supervision

**Who This Role Suits**
- You live in or near Coventry and can travel locally for site visits
- You have prior experience in property lettings
- You’re confident managing 100+ rooms and people without being micromanaged
- You’re comfortable using digital tools (CRM, spreadsheets, task managers)
- You’re organised, outcome-focused, and proactive when resolving problems
- A driver’s license and vehicle are preferred (but not mandatory)
