An opportunity has arisen and our client is currently seeking an experienced administrator to fill this key role. This is a full-time position working as part of a small team.

**About the role**:
The main purpose of this role is to support and assist the Building Management and Facilities team with all office and reception duties, maintaining and improving the systems.
Although this role will predominately be based at the flagship building in Birchwood, they are a multi-site business, with offices in the Warrington and the Greater Manchester areas, so it is vital that the person in this role be comfortable covering frontof house shifts and any other work within their role, at any of the other offices as and when required. This will also mean that travel between offices will be essential to ensure a consistent level of service and support across all the sites.
Responsibilities will include providing reception cover for holidays and sickness. Reception and strong customer service experience would be advantageous.
**About you**:
- Friendly and approachable
- Complete finisher, who keeps track of open items and sees actions through to closure with mínimal supervision
- Holds a full, clean driving licence as travel to other sites will be required regularly (own transport is essential)
- Flexible approach to working hours
- Must be computer literate, with sound knowledge of Excel in particular
- Strong verbal and written communication skills
- Good people skills and eye for detail
- Keen to learn with a high level of motivation and initiative
- Property industry experience would be an advantage
**Key responsibilities**:
- You will be required to take part in training to become a qualified First Aider and Fire Warden
- Support the team with IT related issues
- Maintain appropriate records of issues, actions and remedies
- Action reactive and proactive maintenance, liaising with tenants and contractors
- Attend appropriate properties monthly, take utilities meter readings and process data internally
- Process utilities, contractors, and supplier invoices ready for approval
- Maintain Health & Safety information for sites and properties
- Document management and general office administration
- Run and be responsible for certain projects
- Reception duties
- Provide site inductions to visitors and contractors on arrival to site
- Investigate invoice queries
- Ordering of site consumables
- Monitor and update preferred suppliers register
- Archiving of site documentation
- Maintain spreadsheets, receipts, invoices and manage
- Confidential filing
- Keep an updated register of multiple sites phone lines
- Attend meetings and take minutes
- Adjust temperatures on the BMS system
- Reset the boilers (weekly)
- Attend planned fire evacuations
- Maintain the licence register
- Support larger projects within the company
- Weekly water testing and reporting
- Update SOP’s (Standard Operating Procedures)
- Monitor and book staff training
- Maintain confidentiality in all aspects of client and staff information
- Build and develop good relationships with tenants
- To help resolve complaints and queries quickly and efficiently, and escalate if necessary
- Cost comparison for various services
- Fob management for EV Charge points across all sites, updating information, monitoring trends, and ensuring the policy is adhered to
- Support the reception team monitoring the buildings car parks
- And any other reasonable duties assigned by your line managers
