**Introduction**:
InHealth is the largest NHS Breast Screening Programme (NHSBSP) provider in England and our Surrey and North East Hampshire (also known as ‘the Jarvis)’ Breast Screening Service (BSS) that has an eligible population of approximately 186,000 women invited to screening over a 3-year screening round, is the largest of all our breast screening services in England. The staffing structure has over fifty members of staff.
The static breast screening unit is located at the Jarvis Breast Centre and provides screening and assessment service. Screening is also carried out on five mobile units covering a large geographical area throughout Surrey and North East Hampshire. Screening patients are referred to six NHS Trusts for surgical and oncological treatment.
**What you will do**:
As a Programme Administrator you will deliver a professional and patient-focused service, working alongside your clinical and non-clinical colleagues in our dynamic and fast-paced sites. As an integral part of our administrative and clinical support team, your skills will help us to deliver on our vision to make healthcare better. You will implement the National Breast Screening (NHSBSP) pathway by ensuring safe and timely assessment referral to breast services within six NHS Trusts; ensuring all assessment referrals are completed accurately and in a timely manner using digital audio typing.
**What you are responsible for**:
- To ensure that every patient who is clinically assessed receives the Right Result
- To ensure the smooth pathway of clients who are assessed and referred to a surgical team
- Prepare and ensure the timely delivery of all surgical referrals to the appropriate hospital and with all the relevant images. This includes transfer of digital images via Image Exchange Portal (IEP)
- Liaise with clients and healthcare professionals to support a smooth pathway for the care of women who have been diagnosed with cancer. This requires communication of information which is of a very sensitive nature
- Deal with unexpected and often difficult enquiries of a distressing and sensitive nature either on the phone or in person
- Liaise with private health care clients and health care providers e.g. BUPA, Blackberry clinic
- Organise MDT folders for daily patient management meetings
- Support the requirements of VAE appointments and request invoices as required
- Support the multidisciplinary co-ordinator (MDT) in his/her role particularly during planned and unplanned absence
- Organise and manage the key meeting schedules within the service and minute take at all relevant meetings
- Work to and have full knowledge and understanding of the relevant National Health Service Breast Screening programme (NHSBSP) guidelines and support the service quality management service (QMS) processes/audit schedule
- Work on own initiative managing time to ensure Programme Administrator processes are completed within specified timeframes
- Prioritise and action any problems associated with clients or Healthcare professionals who require an urgent response either on the telephone or in person. Liaise with the medical and nursing team daily regarding client communication
- Enter client results on the NBSS database system and BS Select - requires analysis of screening sheet information
- Ensure compliance with all InHealth statutory and mandatory policies
- Support colleagues with work priorities especially at times of staff planned or unplanned leave

**You will**:
- Ideally have a business administration qualification or equivalent audio typing or secretarial award
- Have evidence of Technical competence with databases/IT systems
- Be skilled at administration processes and proficient with Microsoft packages
- Be experienced in dealing with customers and/or patients and know how to handle their queries effectively and sensitively
- Conduct yourself in a professional manner with both patients and colleagues
- Have good listening skills with an ability to present information logically
- Be able to demonstrate an appreciation of patient care and confidentiality
- Have an understanding of data protection and its importance in the workplace
- Have a proven level of accuracy and attention to detail Be flexible in your working patterns to fulfil clinical requirements and be willing to adjust these at short notice to accommodate unexpected changes
