**Apprenticeship summary**:
Contract: 16 months Fixed Term Apprenticeship Contract
Qualification: Level 3 Business Administrator
Working Pattern: Monday to Friday, 30 hours per week, shifts to be discussed on interview.
Wage: £5.28 (Paid Monthly)
Holiday: 28 days holiday (Bank Holidays not included)
Notice Period: 1 Month
Training Provider: LMP Education (Rated 8th best apprentice provider in UK) Training will be delivered online.
Requirements: Applicants to have achieved English and/or Maths grade C/4 or above or functional skills Level 2.
**Broad Description**
Provides a reception and clerical support service for the school, under the guidance of the Academy Business Partner.
Work is governed by established procedures and carried out without close supervision other than that provided through working arrangements, methods and procedures.
**JOB DETAILS**
**Main Accountabilities**
This will include:
RESPONSIBILITY FOR OTHERS: The post has some impact on the well-being of individuals or groups (i.e. physical, mental, social, health and safety).
RESPONSIBILITY FOR STAFF: The post has no direct responsibility for supervising other staff though may be expected to demonstrate tasks or advise/guide new employees, work experience or trainees.
RESPONSIBILITY FOR FINANCE: The post has limited direct responsibility for financial resources through handling cash, processing cheques, invoices etc.
RESPONSIBILITY FOR PHYSICAL RESOURCES: The post has some direct responsibility for physical resources, involving the careful, accurate, confidential and secure handling and processing of information.
**Main Activities**
Office Duties:
- Undertake reception duties
- Help to create a pleasant welcoming atmosphere
- Deal with visitors to the school, issue visitor passes and notify person they have come to see.
- Give information and guidance to parents and others as appropriate.
- Be a point of contact for pupils requiring help and support, referring them on as appropriate.
- Deal with incoming and outgoing post, e.g. sort and distribute, ensuring urgent post is sent.
- Deal with telephone enquiries, taking messages and passing on for dealing with as appropriate.
- Filing, e.g. invoices, personnel documents etc.
- Generate standard letters - amend with up-to-date information e.g. letters to parents re events in school.
- Produce documents from drafts, e.g. from teachers and the head teacher.
- Distribute documents and materials within the school.
- Maintain stock of office stationery and alert colleagues when stock needs ordering.
Financial:
- Undertake routine financial administration which involves the collecting, counting, recording of cash collected.
- Prepare electronic dinner registers and maintain the corresponding financial records.
Records:
- Maintain pupil and staff data on the schools management system, as instructed by the Business Partner or Administrator.
- Complete absence returns for staff for Business Managers approval.
- Record and maintain attendance data and complete records for admissions and leavers
- Maintain records, files and databases, update, retrieve information and collate reports under direction.
- Assist in completing statutory returns.
Other:
- Assist with making arrangements for visits.
- Assist with pupil welfare, liaising with parents.
- Stand in for the Administrator, but would not be expected to cover the full range of duties.
- Attend and participate in relevant meetings as required with a view to providing a clerking service to the Governing body.
