**JOB TITLE: RECEPTIONIST**

**REPORTS TO: DOCTORS / PRACTICE MANAGER**
**20-24Hours per week**

**Job Summary**:
Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Provide general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

**Responsibilities**:
Reception Duties:

- To have a thorough knowledge of all Practice procedures
- To work in accordance of written protocols
- Receiving patients consulting with members of Practice team
- Process appointment requests for today future appointments from patients by telephone and in person.
- Deal with visits requests
- Extracting notes for all surgeries whether for open surgery or appointments
- Answering the telephone and conveying messages
- Have working knowledge of telephone/bleep system, during and after hours.
- Accepting requests for repeat prescriptions, checking the prescription box for repeat prescription requests
- Process repeat prescription request in accordance with Practice guidelines
- Arranging blood tests for patients
- Sorting the mail
- Scanning letters on to medical records
- Any request for medical report / photocopying, request letter should be attached to the medical records & placed in allocated staff’s tray
- Photocopying insurance medicals and reports and maintaining record book and files thereof
- Filing results and any other relevant documents in patients' notes and filing notes after use
- Charging patients the appropriate amount for private work, providing a receipt to the patient and recording the charge in the Petty Cash book
- Maintenance of patients' notes including starting a new wallet when required and dividing the contents in a logical manner
- Helping with the sorting of filing in new medical records in order that they are in the form used in the Surgery
- Periodically checking the fax to make sure it is operational and has an adequate paper supply before leaving in the evening

**Additional Duties**:

- Arranging staff weekend and bank holiday rota
- Responsibility for organising cover for holidays, sickness and compassionate leave
- Helping new reception staff and training of new reception staff
- Attending practice meetings - discuss ways of improving the practice, as a team sorting any problems that arise during the day to day running of the practice, patients need & aspiration etc

They may also have access to information relating to the Practice as a business organisation. All such information from any source is to be regarded as strictly confidential
- Information relating to patients, carers, colleagues, other healthcare workers or the business of the Practice may only be divulged to authorised persons in accordance with the Practice policies and procedures relating to confidentiality and the protection of personal and sensitive data

Practice guidelines

- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
- Reporting potential risks identified
