We are looking for a dynamic and enthusiastic Senior Team Administrator/Office Support Senior to join our established and growing business in our London office with hybrid working.

This role will support two distinct areas; the Pensions Solutions Group, working closely with the Pensions Solutions Lead and Head of Pensions Solutions to provide operational support to the teams in the group, and the Risk Settlement Team.

The Pensions Solutions Group was set up to ensure that XPS stays at the forefront of market and legislative developments, and proactively helps clients respond to these. The group focusses on producing market-leading solutions to meet the emerging issues, and client and prospect needs.

There are currently 13 teams focused on a core pensions specialism supported by a central technical research team and tools team, and the group has over 130 members covering a broad cross-spectrum of XPS’s staff.

The Risk Settlement Team has expanded significantly in recent years as the emphasis on long-term journey planning has increased in the pensions industry. The team currently comprises 20 individuals across the XPS offices and is anticipated to continue to grow.

**The Role**:
As a **Senior Team Administrator/Office Support Senior** you will be responsible for ensuring the smooth running of both the Pensions Solutions Group and Risk Settlement Team and support both with various initiatives as they continue to develop and flourish. The position requires excellent communication skills, proactivity, an inquisitive mind set and the ability to successfully multi-task projects of all sizes.

You will possess an expert knowledge of the core Microsoft programs (Word, Excel and PowerPoint) and have an interest in learning much more about other programs in the Microsoft suite such as Teams, SharePoint and Planner.

Some specific tasks that will be completed by the role holder include:

- Co-ordinating diaries and booking meetings with insurers, clients and internally across the group.
- Helping prepare for client pitches, including organising the team to ensure all are fully prepared and all documents are appropriately and consistently formatted
- Working with the Risk Settlement Operations team to ensure client and prospect records are all maintained and up to date
- Ensuring the smooth operation of the teams withing the Pensions Solutions Group, and understand the purpose and remit of each to ensure the correct support is provided:

- Organise and join monthly catch-up meetings with each team
- Facilitate the promotion of new initiatives and service, both internally and externally, working with the Solutions Co-ordinators as required
- Measure and report on the success of new initiatives
- Becoming an expert in SharePoint to assist in the maintenance, review and future development of the Pensions Solutions Group intranet site(s). This will also include:

- Collating weekly news items and circulating to the Pensions business every Monday
- Measuring and striving to improve colleague’s engagement with the Pensions Solutions Group
- Scheduling and running bi-annual meetings of the Solutions Team Leads to help set future strategic aims
- Liaising with other departments / business heads to ensure a joined-up understanding and approach to new solutions and training
- Working closely with the marketing team, including:

- Providing support when running campaigns promoting XPS and our new / developing services, including driving internal engagement to maximise campaign results and assist with subsequent analysis
- Helping to proof-read, finalise, distribute and maintain technical content on both internal and external facing platforms
- Assist with preparation and follow-up items relating to XPS’s external webcasts including use of the CRM system
- Tracking pensions technical subscriptions budget
- Completing expense claims and other similar regular and ad hoc administrative tasks
