Wills & Trusts Wealth Management Group and Trust DFM are currently going through a period of organic growth as we expand our long established Independent Financial Advisory business with new offices across the UK and extend our range of services with new Legal and Accountancy practices.
Our Events Team play a crucial role in the ongoing growth of Wills & Trusts, looking after our successful seminar and webinar programme for clients as well as a variety of internal and networking events throughout the annual calendar.
As part of our exciting plans, we are looking to recruit an Event Coordinator to help us prepare for and deliver a busy calendar of events. Your primary role function will be to manage the administration and general support of events, from initial invitation stage through to post-event wrap up and reporting. You will also work as part of a team planning events so they run smoothly on the day, ensuring delegates in attendance have access to everything they may need whilst maintaining the consistently high standards that our clients and partners have come to expect.
Typical daily responsibilities will include:
- Administration tasks related to upcoming and past events, including the data input and synchronisation of leads, booking of appointments and related dairy management of advisers.
- Responding to enquiries from internal and external delegate queries
Preparation of materials/packs needed for each individual event, this will include everything from name badges/cards through to detailed information packs and presenter materials or presentations
- Ensuring all meeting rooms and venues are well-presented and adequate for whatever facilities may be required during the event
- Provide exceptional levels of customer service to external clients, internal colleagues and partners of the Wills & Trusts Group.
- Scheduling of attendees, presenters and colleagues attending on the day plus associated venue partners
- Ensure all equipment/materials required for events are organised in advance, delivered to the venue in a timely fashion and assisting with the setting up and smooth running of the day
- Inputting key data into the CRM and Seminar software to ensure the business has accurate information feeding into management reports.
- On-site attendance during events at the Head Office in Thame and other hubs or venues across the UK.
Public information seminars on topics such as Wills, Investments and Pensions are vital part of the Wills & Trusts Culture and how we initially develop relationships with our Clients. Events are already well established with our business but as we continue to grow the volume of seminars will be increasing significantly. In conjunction with this Wills & Trusts also host regular networking events with external organisations and our Talent team also regularly use our internal facilities for training and recruitment events. With all these activities increasing in volume we have created this new position within the Events team to help us as we expand.
**Qualifications**:
Our ideal applicant will be excellent under pressure, have good organisational skills and ideally have some experience, knowledge, or training within events; perhaps having graduated from a related degree course or potentially been on the other side of events within a hotel environment. You will naturally be a detail focused individual and have a passion for providing high levels of customer service. Strong administration and IT skills (including Outlook and Excel) are essential. The ability to multi-task is key as you will often be planning several events simultaneously and you will also need to remain calm under pressure. A clean driving licence is required as you will be required on-site at events.
