We are seeking to appoint someone with a professional and flexible approach to work within Ophthalmology at Sheffield Teaching Hospitals.

They will liaise with other administrative teams within Ophthalmology to ensure that the service operates effectively and efficiently.

They need to be able to demonstrate good organisational skills and be able to work in this busy environment. We are looking for someone who can demonstrate good interpersonal and communication skills, together with the ability to work as part of a team.

To organise theatre activity for the consultants and their clinical teams, using a range of hospital information systems, including LZO (Lorenzo) ORMIS, eRS and the Directorate EPR, MediSOFT. Including booking of appointments, booking of transport and interpreter requirements.

Monitor inpatient queues and waiting times to ensure patients receive timely, appropriate pre-assessment, post-operative and follow up appointments in line with Trust / National policy, to meet local and national targets.

With the Surgery Booking Coordinator, train the admin staff in the surgery booking team all areas of the surgery booking processes, including the 18-week RTT pathway

With the Surgery Booking Coordinator, manage leave requests within the admin team in order to ensure the service remains efficient.

The successful applicant will need to be able to demonstrate good organisational skills and be able to work in this busy environment. We are looking for someone who can demonstrate good interpersonal and communication skills, together with the ability to work as part of a team.

The Directorate of Ophthalmology offers diagnosis and treatment for patients with a wide range of eye conditions, including glaucoma, cataract, oncological disease, corneal and retinal conditions and trauma. As well as serving the needs of the city of Sheffield, the Directorate provides a tertiary service for the region and beyond. The Directorate is a national centre for Ocular Oncology.

There are 100,000 attendances in the department every year. Nurses and Technicians in the department have extended their practice to include some screening and monitoring procedures, minor operations, and treatments in the clinics. The Directorate also operates an Emergency Eye Centre.

Approximately 8000 surgical procedures are treated each year, most on a day case basis.

To ensure that a high level of customer service is delivered, consistent with NVQ customer service standards (up to NVQ level II).

To liaise regularly with colleagues, including supervisors, service managers, clinicians and other administrative staff to ensure full utilisation of all available theatre slots.

To arrange theatre cancellations and reductions, in line with Trust policy, to meet local and national targets.

To ensure that all the theatre capacity is used diligently and is checked, ensuring compliance with all directorate standards and procedures.

Maintain the integrity of patient identifiable data (PID) and observe the Trusts policies, procedures and conventions pertaining to all aspects of the Medical Records function.

To ensure that patients’ details are correct and updated on Lorenzo.

To answer the telephone politely, communicate and deal with enquiries and first-line complaints from patients, internal departments or external organisations.

Ensure quality standards are maintained.

Maintain the working environment in a safe manner, which complies with Health and Safety standards.

Communicate clearly and effectively with all internal and external Health Care Professionals and other clerical staff.
