**Location**: DAVSS Office in Five Oak Green, Tonbridge

**Hours**: 35 hours per week, Monday to Friday

**Pay Scale**:
£24,720 pa

**We are seeking a meticulous and organised Office Administrator to join our team.**

This role will ensure that we provide administrative support to the DAVSS support to court service, ensuring that clients are supported appropriately with the provision of timely information and signposting. This role will also support monitoring and evaluation by recording and gathering accurate data and feedback and presenting this to the Leadership Team as required.

**Main duties**
- Work with the Support to Court Manager and assist with data collection, recording and reporting for funding and reporting purposes.
- Work with the Initial Contact & Triage caseworker and manager to ensure that clients are referred over in a timely fashion and that data is captured and recorded in line with the expectations of the Support to Court project funded by IOTLS
- Manage, complete, and disseminate Legal aid letters, court material, information packs for clients and general letters of support as required.
- Check legal documents (e.g. Fl401 / 3, D89, C8), if required by the client before they submit these to court.
- Liaise with courts as necessary.
- Liaise with referrers for further information if required.
- Co-ordinating McKenzie Friends, ensuring client forms on file.
- Follow-up of client evidence, recording consent and collate for reporting.
- To maintain accurate and up-to-date client records.
- To liaise with outside agencies and to share information in line with DAVSS’ policies.
- To provide basic IT support to staff and volunteers.
- To undertake general office admin tasks like photocopying, printing, and scanning.
- To assist with any other task as required by management to ensure the smooth running of DAVSS.
- Maintain a diary of volunteer support for the Support to Court Team.

**Person Specification**

**Qualifications, Skills and Experience**

Essential:

- Good working knowledge of office I.T. and software packages such as Microsoft Word, Excel and Outlook.
- Willingness to be trained on DAVSS’ domestic abuse software system (Oasis).
- Previous experience in an administrative role.
- Excellent organisational and general office administration skills.
- Strong communication skills, verbal and written.
- The ability to work well with others (both inside and outside the organisation) to deliver agreed outcomes.
- The ability to work with mínimal supervision and to use one’s initiative.
- Good time management skills, delivering outcomes within defined timescales.

Desirable:

- The ability to take and produce accurate meeting minutes.
- Previous experience of working with and supporting volunteers.
- An understanding of the complex nature of domestic abuse and the support available to victims.
- Experience of working in the charity sector.

**Footnotes**

The post holder may be required to undertake other duties that fall within the role.

There may be an expectation to work in the evening or weekends as required. All staff must support DAVSS by attending at least 2 events a year.
