We are committed to delivering unforgettable experiences to our clients, and the Event Details Manager plays a crucial role in ensuring that every aspect of their event is meticulously planned and executed to perfection.
As an Event Details Manager/Planner (Customer Experience Specialist), you will be responsible for managing all aspects of our clients' events from the moment they commit to a sale until the successful completion of the event. Your primary responsibilities will include:
- **Customer Communication**: Act as the main point of contact for clients after they commit to a sale, ensuring clear and timely communication to address any questions or concerns they may have.
- **Event Planning**: Work closely with clients to gather all necessary details about their event, including dietary preferences, guest count, venue specifications, and any special requests.
- **Documentation and Invoicing**: Prepare and issue invoices accurately, ensuring all details are correct and payments are processed in a timely manner.
- **Job Sheet Production and Operations Handover
- **Prepare and handover accurate job sheets in a timely manner to the production team, and issue a briefing.
- **Exceptional Customer Experience**: Ensure that every client has an exceptional experience by providing personalised service and attention to detail throughout the planning process.
- **Event Coordination**: Coordinate with internal teams to ensure all aspects of the event are planned and executed flawlessly, including catering, staffing, equipment rental, and logistics.
- **Meetings and Zoom Calls**: Schedule and conduct regular meetings and Zoom calls with clients to review event details, address any updates or changes, and ensure alignment on expectations.
- **Venue Visits**: Occasionally visit event venues to familiarise yourself with the space and ensure accurate production of job sheets for the more complex jobs
- **Payment Management**: Ensure that all payments are received in full and processed before handing over event details to the operations team.
- **Feedback Pursual
- **Chase and request feedback and positive reviews
**Qualifications**:
- Previous experience in event planning or customer experience management preferred.
- Strong communication and interpersonal skills.
- Exceptional attention to detail and organisational abilities.
- Ability to thrive in a fast-paced, deadline-driven environment.
