**Role Overview**:
**Document Control - Office & Site Based**:

- Oversee administrative tasks within office and on construction sites, helping the project team operate efficiently.
- Support Document Control team to maintain existing project documentation on the Meldrum Project Information Management (PIM) System. This will include uploading, revising, and issuing documents to relevant parties and issue groups in accordance with Meldrum protocols.
- Support onsite client/Design and other team meetings
- Co-ordination of both site and office documentation to ensure revision control is maintained across the business.
- Assist with the drawing approval process via Viewpoint and FieldView system
- Support the production of O&M documentation, including liaison with project team members and outside provers, to ensure handover documentation is delivered in a timely manner.
- Monitor Quality, Environmental, Management & Safety (QEMS) System compliance across all Meldrum operating companies.
- Monitoring site paperwork and scanning into PIM.
- Update and maintain office templates.
- Supporting the ongoing and training and development of the Document Management System (PIM), Viewpoint & FieldView.
- Support and champion the QEMS
- Ensure all site files/project documentation is archived in a timely manner in accordance with Meldrum processes.
- Ordering of office supplies via Evision
- Provide administrative support to all the Meldrum Group companies, including general office duties when required.

**Pre-Construction Administration Activities**:

- General pre-construction administration duties when required to support the Estimating Team.

**Front of House/Reception Duties;**
- To act as the first point of contact within our organisation
- Greet visitors on arrival to the offices and communicate to the relevant person their arrival
- Answering all telephone calls
- Book meeting rooms for internal / external meetings
- Sorting, recording and distribution of all incoming mail and recording and franking of all external mail

**General**:

- Provide support for any functions or events held on behalf of Meldrum Group

**Continuous Improvement**:

- Ensure the highest standards are maintained to continually improve the service given to Clients.
- Inform your line manager immediately of any problems encountered and identify possible solutions.
- Ensure all the company’s procedures are followed and adhered to and suggest opportunities to improve and develop them where appropriate.
- To carry out any duties which may be required to ensure a professional service is always provided.
