**Trinity CE Primary Academy - Business Administrator Apprenticeship**

To manage office functions to ensure an effective service to the academy. To contribute to the planning, development and monitoring of support services, co-ordination of visitor’s to the academy, including delegation of relevant activities outlined. To be able to provide summary reports to senior leaders, and the Trust as required.

**Apprenticeship Summary**

30 hours per week

Level 3 Business Administrator Qualification

39 weeks a year

16 months to complete the course

£6.00 per hour

Monday - Friday

GCSE or equivalent Maths and English (Grade 4/C and above or Level 2) essential

Any successful applicant must complete a DBS check prior to start date

**General Responsibilities**

Leadership and Management:

- Support the administrative work of the Executive Head teacher/Head of School, Senior Office Administrator and the academy Trust
- Contribute to the Leadership and Management team offering personnel support and advice as required
- Ensure that administrative checklists and duties are adhered to when implementing safer recruitment and safeguarding pupils eg. During recruitment interviewing, appraising, mentoring and training
- Ensure there is suitable marketing of the academy
- Ensure suitable admission and transfer arrangements occur for the pupils

Personal Assistance
- Support the Headteacher to contribute to the overall ethos/ aims of the academy.
- Support the Headteacher to ensure that roles and responsibilities are delegated and day to day tasks and duties are carried out
- Establish constructive relationships and communicate with other agencies and professionals, and all stakeholders
- Support with and assist the development of policies and procedures relation to all legalities
- Participate in training and other learning activities as required
- Be accountable to the Headteacher and the Governing Body/Advisory group and Sponsors
- Respond to changes that are needed to operate as an academy

Personnel and Staffing
- To ensure the completion of relevant paper work is carried out relating to staff employment and operate within the safeguarding and safer recruitment checklist
- To support the maintenance of confidential staff records.
- Maintain Single Central Record
- Responsibility for recording and reporting absences and ensuring that HT and HR are aware of prolonged absences following grey book procedures
- Responsibility for maintaining training records
- Responsibility for contract information

Administration
- To manage the administrative functions within the academy. eg,. Reception, reprographics, records and telephones at particular times of the academy. day
- To be responsible for the systems and general management of the academy’s administrative and financial computer network, management information systems, accounting and record systems and desktop publishing
- Support the preparation and production of academy. publication
- Obtain the necessary licenses and permissions

Finance
- Support effective management of financial administration procedures, including responsibility for compliance with financial regulations.
- Carry out delegated duties as directed by the Senior Office Administrator

General Purposes
- To liaise with parents, welcoming visitors to the academy. and providing hospitality to visitors
- Administer academy. mail and other correspondence
- To ensure that there is up to date commitment to Continuing professional development
- To advise the Headteacher, Leadership and Governors appropriately regarding the academy’s financial position, personnel systems and support services from a variety of stakeholders
- To undertake any other duties that the Headteacher may request

Knowledge, skills and experience
- The ability to work effectively in an office team and lead particular aspects
- Previous office administrative experience
- Excellent clerical and administrative skills
- An excellent, clear and friendly telephone manner
- Effective interpersonal skills
- Excellent numeracy and literacy skills

Main purpose - Attendance

To monitor and report on whole-academy, attendance data, analysing data to identify key areas of concern. To work closely with pupils, staff, parents and carers to reduce levels of absence, and act appropriately when persistent absence becomes a safeguarding issue.
