We are currently looking for an Events Assistant, available for immediate start to work alongside our Assistant Events Manager to support our wide ranging events programme throughout the year. You will be supporting our Events Team Team reporting to the Assistant Events Manager to ensure that the Museum events consistently provide a high-quality experience for our visitors on each event.
You will develop relationships and contacts with our regular car clubs, traders and external stakeholders and develop the administration process to provide accurate and timely communication and records. You will help develop new contacts and content for our wide range of events as well as offering operational support, when needed, in both setting up and delivering our Event Days. You would work closely with the Marketing Department to provide appropriate content - information and imagery - to help the promotion and advertising of our events. We are looking for a confident communicator with a “can do” attitude, enthusiasm, and a passion for creating memorable experiences for visitors.
**Main areas of responsibility**:

Administration_**
- To be the first point of contact for car clubs, traders and other key event relationships and develop and maintain a database of their details and accurate records.
- Provide accurate information in advance for our event participants as required.
- To contact new and existing car clubs, traders and organisations to maximise the potential revenue for the events.
- In conjunction with the Events Team, help develop new business ideas and offerings for our events programme.
- To implement and collect feedback from participant clubs and traders post-event as a way to monitor our event delivery to continually look at ways of improving our overall event offering.
- To send out booking forms for Car Clubs and Traders and follow up when needed.
- To confirm event or club bookings and take any required payment and ensure these are added to the main diary.
- To keep up to date information for individual events relating to event bookings.
- To attend regular Event Team Meetings and be able to provide progress reports as required.
- To prepare event information packs and schedules.

Event Day Support:_**
- Where required, to help with the delivery of our Events, which may require manual handling.
- Ability to work some Event Days, which will include weekend working.
- To assist in the on the day scheduling of Events Casual Crew and Marshals onsite as required.
- To liaise with Traders on site for feedback on the day
- You will be asked to work on your own remotely in other areas of the Museum site which may be outdoors in a variety of weather conditions.
- Ensuring that you keep up to date with developments in the Museum including changes in our offer, events and activities.
**Please note this is not an exhaustive list of duties and the Museum’s may allocate similar tasks to support the other teams within the Museum.**:** Desired Knowledge**
- Previous experience of administration, sales and working within an events environment, or a visitor attraction is desirable
- Clean Driving License
- To either hold or be willing to hold a First Aid at Work qualification
**Skills & Competencies**:
- Customer aware and take pride on delivering excellent customer service
- Confident using IT systems including Word and Excel, and willingness to learn on site operating systems
- Excellent verbal and written communication skills including via telephone and radio communications
- Ability to multitask and work to deadlines
- Good organisational skills
- Comfortable working as part of a team as well as on your own
- Ability to remain calm and professional when working under pressure
- Positive approach with a can do attitude, with a willingness to be flexible and ‘hands on’
- Have a willingness to embrace and adapt to change and to try new approaches
- To be professional, respectful, engaging, confident and enthusiastic
- Have an understanding of the need for flexibility and be able to respond accordingly
- To be willing to work both in an office environment as well as outdoors for event delivery
- Be able to carry out manual handling tasks
- Flexibility with hours with some weekend working required for events
