Our **Operations Coordinator** is responsible for providing operational administrative support within your client base, ensuring that customer and supplier needs and deadlines are met efficiently. You will focus on building and enhancing relationships with clients and suppliers, ensuring all internal and external deadlines are consistently achieved. Your goal will be to ensure that working with Albatross is a smooth, seamless experience for both clients and suppliers alike.

**Responsibilities**
- Assist with completing operational tour checks against the client itinerary to meet deadlines.
- Obtain customer rooming lists, input into the booking system, and send to suppliers on time.
- Request and ensure tour information is passed to all relevant suppliers.
- Confirm final services and inclusions for all tours with hotel suppliers.
- Conduct thorough pre-departure checks for all tours.
- Ensure the tour details are always accurate and up to date in the booking system.
- Obtain monthly tour sales updates from customers and input them into the booking system.
- Screen departmental calls when necessary.
- Manage tour allocations, including oversold rooming, and reduce to deadline.
- Accommodate special requests and extra rooms to secure bookings.
- Manage ferry bookings, including confirmations, chasing, final numbers, and confirming with clients.
- Request standard set menus
- Set up and send weekly Text Magic driver texts
- Conduct thorough pre departure checks for all tours
- Send final travel documents to clients
- Provide additional administrative support across the B2B Operations Team as needed.
- Perform any other functions required by the company.
**Requirements**:
- Strong organizational skills and ability to manage multiple tasks and meet deadlines.
- Excellent communication and collaboration with clients, suppliers, and internal teams.
- High attention to detail, ensuring accuracy in bookings and system updates.
- Proactive problem-solving with a focus on win-win solutions.
- Proactive in managing tour allocations, rooming, and ferry bookings.
- Enhance collaboration with the wider group to improve efficiency and processes.
- Strong customer service and relationship-building skills.
- Adaptable and able to prioritise effectively in changing circumstances.
