**Key Responsibilities**:
**Administrative Support**:
- Provide administrative support to the Workshop Manager and production teams.
- Manage schedules, appointments, and meetings for the Workshop Manager.
- Prepare reports, presentations, and workshop documentation as needed.
**Documentation and Record Keeping**:
- Manage and maintain all documentation related to MRO operations, including maintenance manuals, work packs, and engineering data.
- Ensure all documents are up to date, with obsolete versions archived.
- Maintain accurate records of maintenance activities, work orders, and job cards in compliance with Part 145 regulations.
- Assist in preparing and maintaining regulatory and compliance documentation.
**Document Control and Compliance**:
- Facilitate document distribution to appropriate personnel and departments, ensuring correct individuals have access while maintaining confidentiality.
- Ensure all documentation meets regulatory standards, complying with aviation authorities (CAA, FAA, EASA).
- Support preparation for internal and external audits, providing necessary documentation and evidence to demonstrate compliance.
**Inventory and Supplies Management**:
- Monitor and manage inventory levels of tools, equipment, and consumables.
- Assist in ordering parts and materials, tracking orders, and maintaining accurate inventory records to support ongoing maintenance activities.
**Data Entry and Reporting**:
- Input data into the workshop management system accurately and efficiently.
- Generate reports on maintenance activities, productivity, and other metrics for the Workshop Manager.
- Assist in analysing data to identify trends and areas for improvement.
**Compliance and Quality Assurance**:
- Support the Workshop Manager in ensuring compliance with EASA/FAA Part 145 regulations, health and safety standards, and company policies.
- Assist in preparing for audits and inspections by regulatory authorities.
- Monitor training records of workshop staff to ensure current certifications.
**Continuous Improvement**:
- Continuously review and improve document control procedures to enhance efficiency and accuracy.
- Identify areas for improvement in workshop operations and propose solutions.
**General Office Duties**:
- Manage office supplies, equipment, and facilities to ensure a well-organised workspace.
- Facilitate communication between workshop staff and management to ensure smooth workflow.
**Qualifications and Experience**:
Experience: Minimum of 2 years of administrative experience, preferably in a Part 145 MRO or technical environment. Prior experience as a Document Controller is highly advantageous.
**Skills**:
Strong organisational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and ERP/MRO software.
- Familiarity with P145 regulations and MRO processes is a plus.
- Analytical mindset with problem-solving skills to identify areas for improvement.
- Attention to detail and accuracy in documentation.
- Ability to work independently and as part of a team in a fast-paced environment.
- Experience with internal and external audit preparation is desirable.

Pay: Up to £28,000.00 per year
