What are we looking for in our **Programme Administrator?**
**Programme Administrator - London (Hybrid) - 1.5 months contract - £20.21 per hour PAYE - Higher Education Sector**
**Key responsibilities**:
**_ Admissions and Recruitment_**
- Provide a high-quality professional service to prospective students, programme directors, and Admissions Office by ensuring an informative, up-to-date and responsive applicant and enquiry service.
- Contribute towards the maintenance of the admissions and recruitment web pages, offer packs and other recruitment material for the School of Pharmacy to ensure that applicants have detailed, accurate and timely information about the programme they wish to undertake.
- Provide support to the Admissions and Student Services Manager for outreach and recruitment events.
- Represent the School at open days and offer holder days to ensure that potential students obtain a fully rounded picture of the benefits of education.
- Support the organisation and running of undergraduate selection days to provide a welcoming and efficient service to potential students.
- Collate test and interview data to ensure that prospective students meet the values necessary to become pharmacists and support offer making.
- Liaising with Faculty and central recruitment and marketing staff and assist with recruitment to the MPharm programmes.
**Examinations and Assessment**
- Assist the Assessment and Programmes Manager with the Objective Structured Clinical Examinations (OSCEs) examinations as required and assist with administration of coursework collection, processing, and return.
- To advise students and staff on the academic regulations and the procedures for submitting extenuating circumstances and academic appeals.
- Attend departmental extenuating circumstances panels, ensuring outcomes are advised to students.
**MPharm Programme Support**
- To work closely with the Associate Director (Education), Programme Directors, Module Leaders and other teaching staff to ensure the effective delivery of the school’s academic programmes.
- To provide a professional, proactive, and responsive support service to students, staff, visitors, applicants, and external stakeholders, referring matters to other members of the team as appropriate.
- To administer Fitness to Practise checks for undergraduate pharmacy students, maintaining records and assisting with Fitness to Practise panels.
- Ensure attendance is monitored and acted on where necessary, overseas students are meeting requirements set by the UKVI, and all students meet local attendance policies.
- To assist with the administration and organisation of events such as the White Coat Ceremony, Awards Evening, and Induction for new and returning students, providing advice and guidance to students and staff as required.
- To use and support Virtual Learning Environment (Moodle), to ensure that content is correctly set up, that students can access the correct material and that announcements are made in a timely manner.
- To produce transcripts and liaise with overseas sponsors on behalf of students and graduates.
- To provide information and advice to students, staff and external stakeholders on the structure and content of the school’s teaching programmes and relevant policies, procedures and regulations relating to academic programmes and to make sure materials are accurate and regularly maintained.
- To maintain student records, ensuring that changes to student information are processed and recorded accurately and in a timely manner complying with data retention schedule.
- Organising and collating the collection of student feedback.
- To maintain an awareness of needs and priorities of other programmes and contribute to the needs of the office, participating in the front counter rota and provide cover and support for other team members as required.
**Committees**
- To provide administrative support to committees including organising meetings, preparing agendas and papers, taking minutes, and following up action points.
