An opportunity has arisen for a Support Officer within the Workforce Intelligence and Systems department at the Royal Berkshire NHS FT.
The trust is committed to supporting managers and staff to plan for optimal staffing levels in the various departments and services through the utilisation of electronic rostering systems.
The E-rostering Service Support Officer role is to assist the E-Rostering Systems Lead in providing a comprehensive support service to all users of a new rostering system for medical staff, including help desk support and to provide user training. In addition the post holder will provide project support as required, and maintain a suite of reports that support the Trust’s management objectives.

The post holder will provide training to system users and help desk support, and will be responsible for ensuring that the Helpdesk logs are up to date.
The post holder must ensure that appropriate issues are escalated to E-Rostering Systems Lead or the Head of Workforce Systems where appropriate. The post holder will promote best practice in the use of HR systems
1 To assist the E-Rostering Lead in all aspects of roll out of the medical e-rostering system throughout the Trust.
2 To meet with departmental leads to understand the rotas and the requirements of the system. To document any requests to feed back to the Lead/software company
3 To work with the Medical Workforce team to ensure that the staff data on the system is accurate and up to date
4 To obtain sign off from the departmental lead for the configured working patterns and to raise any variances in hours worked identified by the system.
5 To deliver training on the system as required.
6 To provide support for help desk calls and record the calls in the help desk database.

Principle Accountabilities
1. To provide support for e-rostering help desk calls and to record calls in the help desk database.
2. To liaise with other e-rostering support team members to ensure that a consistent approach is maintained across all design and implementation activities.
3. To run a suite of daily, weekly and monthly reports from the e-rostering system as required by the service.
4. To develop and maintain an expertise in report writing and analysing and distributing useful workforce information. Learn and develop skills on the Electronic Staff Record (ESR) Business Intelligence report suite, including creating bespoke reports, and the advanced use of Microsoft Excel
5. Setting up new users on HR Systems (ESR, Rotawatch) and carry out 1 to 1 training of new staff on the system when required, and provide support to service users.
6. To provide and promote Workforce Information expertise to Directorates and Service departments. Supporting the Trust with a high quality Workforce Information service to enable the pursuit of corporate and departmental goals and objectives. Ensure that information provided is validated, accurate, appropriate and presented to the agreed and defined standard.
7. Regularly carry out data quality checks on the systems in liaison with the Payroll, and Recruitment Administration teams and pursue action to correct identified errors.
8. Support the HR Systems Lead with a monthly reconciliation of data held in ESR with the Financial ledger
9. Assist in the implementation of new developments in the use of HR Systems.
10. Operate as an active member of the Workforce Information Team and the HR Function as a whole and have the ability to communicate successfully with all levels of the Trust.
11. Actively support the Trust in the design, implementation and maintenance phases of Human Resources & Trust initiatives
12. Maintain an awareness of human resources issues at local and national level and contribute generally to the information needs of the Directorate of Human Resources.
13. Participate in local, regional and national Workforce related forums as a representative of the Trust.
