As Business Administration Apprentice you will predominately be responsible for reception duties and providing daily administration support to internal departments. Duties include:

- Providing a friendly and welcoming reception for visitors, clients, and staff, ensuring everyone is welcomed in a courteous and professional manner.
- Issuing access passes where applicable and making individuals aware of the HSE visitor induction, where necessary
- Calendar management of internal meeting rooms, assisting in the planning, preparation and clearing of meetings, conferences, conference calls and facilitation of catering requirements
- Coordination of incoming and outgoing mail, including booking couriers
- Receiving deliveries from couriers, ensuring items are quickly passed to the relevant contact and larger deliveries are received by the appropriate point of contact
- Ensuring reception area is tidy and presentable at all times
- Ensuring supplies of office stationery are maintained
- Raising purchase orders for equipment recorded on the certification registers  
- Supplier maintenance - requesting relevant documentation from new suppliers, adding the information to the supplier database on IMS, and ensuring details are kept up to date
- Reviewing overdue orders on IMS - contacting suppliers for an update and then updating the POs with new dates
- Creating POs for freight, hire orders, new parts, repairs and equipment
- Maintaining base stock sheets and ensuring items are replenished
- Updating system registers
- Document control for certificates received, filing into system folder and uploading onto IMS and Operations Module
- Scanning delivery notes and attaching to relevant PO
- Assisting Crewing Team with offshore personnel crew changes, collection of paperwork and general logístical administration
- Providing administrative support to the Executive Assistant and any other departments as necessary to ensure a continuity of an administrative service is provided.

We are looking for someone with previous experience in an administrative role, who has worked within a multi-tasking environment. A Business Administration qualification would be desirable along with the following personal attributes:
