**Job Summary**

To provide a highly professional, comprehensive, effective and efficient Personal Assistant service to the Divisional Director and Associate Director of Operations.

**Keydutiesandresponsibilities**:
Key tasks will include but are not limited to:

- Managing the complex diaries of the Divisional Director and Associate Director of Operations, coordinating and arranging meetings, and ensuring the Divisional Director and Associate Director of Operations are fully prepared for meetings, with sufficienttime for completing work, and balancing their time as appropriate.
- Responsible for co-ordination between senior managers to initiate/produce reports, papers, presentations etc. for meetings.
- Taking accurate formal and informal minutes/action notes of often highly complex meetings, distributing them within the required time frame as appropriate and ensuring any actions are followed up.
- Managing communications on behalf of the Divisional Director and Associate Director of Operations, with both internal and external stakeholders. This will involve liaising on highly complex, sensitive and confidential issues.
- Gathering information and producing reports and presentations to a professional standard as required on behalf of the Divisional Director and Associate Director of Operations.
- Working in conjunction with the Divisional Director and Associate Director of Operations’ areas of responsibility on key issues.
- Using HealthRoster to record leave and absence, ensuring adequate administration cover is available. Maintain accurate leave and absence records for the management team, alerting the Associate Director of Operations of any potential issues leading to insufficientcover.
- Acting as signatory to recruit and authorize payment of Bank staff on HealthRoster.
- Monitor and manage the efficient and effective use of departmental equipment and resources.
- Provide comprehensive support to the senior operational team including diary management, coordinating, and arranging meetings, taking minutes, audio transcription, referrals, travel arrangements and accommodation following guidelines.
- Implement and monitor information systems and procedures, updating, migrating and auditing data using Trust electronic systems.
- Develop and/or evaluate administration policies and procedures for own work area.
- Work flexibly and provide cover for colleagues across the Division as required.
- At all times maintaining and promoting the professional image of the Divisional Office.
