Medical Receptionist/administrator

We are looking for a friendly and organised full-time receptionist to join our team in an independently owned private GP surgery in Parsons Green.
**Job Summary**:
- Responsible for co-ordinating daily administrative tasks for doctors, other clinicians, patients and assisting in the smooth running of the Practice in general
- Answering and handling telephone queries, requests and making bookings
- To project a positive and friendly image to our patients and other professionals who may contact us either in person or via the telephone.
- To support the GP’s in providing that care.
- Accountable to: Practice Manager_
**KEY RESPONSIBILITIES**:
- To ensure that all visitors and telephone callers to the practice are greeted professionally
- To ensure all telephone calls are managed appropriately
- To manage the flow of patients arriving at the reception desk for appointments, prescriptions or queries.
- To ensure the clinical staff receive medical records as per our patient list for the day
- To ensure that repeat prescriptions are generated accurately and efficiently within the 24 hours specified by the practice.
**KEY TASKS**:
Reception duties:
- Greeting and booking in or patients for appointments
- Dealing with patient enquiries efficiently and courteously
- Receiving and recording of telephone messages taking appropriate action
- Processing day to day appointment requests from patients in person and on the telephone
- Restoring the telephone service in the morning and checking for any messages
- Dealing with all telephone queries/requests from patients and acting as liaison with the Doctors
- Pulling and filing medical records
- Processing repeat prescriptions withing 24 hours
- Receiving specimens from patients and arranging courier collection
- Tidying waiting room generally during the day to ensure the premises are kept neat between patient visits.
- **Administration duties**:
- To have a thorough knowledge of all practice policies and procedures
- To work in accordance with written protocols
- Provide administrative support for clinical staff
- Filing patient records and correspondence
- Opening and distribution of practice post
- Registering new patients following the Registration Protocol
- Scanning of documents onto the medical system
- Monthly recalls and stock ordering for the treatment room
- Updating details on Crosscare i.e. Change of address, telephone numbers etc
- Ensuring building security/premises at the end of the day and ensure the building is totally secured, internal lights off and alarm is on
- To carry out any other duties agreed between employee and the practice to ensure the smooth running of the practice
- Invoicing and taking payments
**SALARY**
Full-time position: 37.5 hours per week
Monday to Friday: 8.45 - 6.30pm swing shifts (opening/closing)
**Salary**: £25.000 (whilst on 3 month probation)
£26.000 upon successful completion of probation
Pension scheme: NEST
**Salary**: £25,000.00-£26,000.00 per year
