Facilities Coordinator

NTR Recruitment are working on behalf of a client in Harrogate to find a Facilities Coordinator, for a short term contract starting in November 2024 and ending January 2025.
**Role Purpose**:
- To ensure an effective and customer focused service provided in accordance with the contract specification and agreed service levels.
- To develop and maintain a positive relationship with clients and Cushman and Wakefield soft services vendors.
- To provide core facilities and client administration requirements
- Management of the delivery of facilities services to the Waterloo office.
- Implementation of initiatives to ensure that best practice is achieved in every aspect of service delivery with particular focus on cost, quality, and client satisfaction.
- Responsible for various contractors’ management, developing and administrating different projects aligned with the client needs.
- Management and analyse of the budgets (to ensure all operations are within budget, to spot short & long-term cost saving strategies, etc.) and be responsible for meeting financial goals.
- Financial management (invoice processing, creation, and closure of purchase order, etc.)
- Promoting high level of satisfaction among clients by achieving and exceeding service requirements expectations.
- Supervising and liaising with our catering provider.
**Core Responsibilities**:
- Preparation and management of annual budget for Facilities services, reporting accruals, reforecasting and other financial information on a regular basis.
- Management of soft services Facilities vendors such as catering and cleaning, ensuring agreed scopes are adhered to.
- Management of workplace health and safety, including providing relevant certificates and inputting into H&S system, Meridian.
- Processing of supplier invoices and raising/ closure of purchase orders.
- Developing positive relationships with service providers, local management and clients and ensuring standards and scope of service are met.
- Responding to any client enquiries in a friendly and professional manner and providing assistance with the reported issue by resolving or reporting it.
- Completing monthly Space Planning, daily & monthly Site Inspection reports and quarterly H&S inspection.
- Management and order of general office supplies.
- Organisation of the maintenance of tenant services and planning of general repairs.
- Planning of business meetings with the client and with the suppliers
- Ensure compliance with C&W policies, procedures and standard practices.
- Ensure client security processes are followed (visitors registration, secured access requests, etc.)
**Qualifications**
- IWFM Level 3 or above or working towards
- NEBOSH - Desirable
- IOSH - Essential
**Skills and Experience**
- Must have a minimum of 2 years in FM on a corporate account.
- Key base experience is customer focus and empathy.
- Familiar with effective contract and vendor management.
**Job Type**: Fixed term contract
Contract length: 3 months
Pay: £25,000.00-£30,000.00 per year

- Monday to Friday
