The Role of the administrative assistant is to provide a comprehensive and effective administrative service to support the smooth and efficient running of the General Surgery department. This includes booking diagnostic clinics, outcome virtual clinic as directed and liaising with the clinical team to ensure a smooth and safe patient experience. Supporting the failsafe officers in managing the diagnostic patients and liaising with the coordinators to ensure patients are booked in a timely manner.

The post holder will be responsible for communicating with patients and their relatives regarding their appointments and admissions details both verbally and in writing.

To assist in the validation and performance management of PTL monitoring, ensuring booking, data recording, clinic and elective admissions outcomes of the patient pathways are proactively managed in order to achieve 18 week targets.

Provide cross cover within the team as and when required.

Work flexible hours as required by the needs of the service.

Ensure full compliance with the Trusts waiting list policy in line with the national 18-week target.

Follow Trust escalation policy if patients require cancellation.

Ensure all paperwork is filed in the patient’s notes as per Trust policy.

Train other staff members as required in the role.

Proactively manage workload and amend practices, within remit, to improve the processes and patient experience.

To work as part of a team alongside other clerical staff within the department and to be part of a wider multidisciplinary team delivering a high quality service to other staff and patients. This includes working with identified external contacts and stakeholders.

Book virtual clinics post diagnostic clinics and if patients are removed off waiting lists ensuring comments are placed on the Patient Administrative System (Careflow and SCR) to explain reason behind booking.

North Middlesex University Hospital NHS Trust is a medium sized District General Hospital based in Edmonton in Enfield, North London. We serve a diverse multicultural population largely from the London boroughs of Enfield and Haringey. North Middlesex University Hospital NHS Trust (NMUH) General Surgery department is a well-established department serving the population of Enfield and Haringey. Annually over 25,000 patients are seen through outpatients and 2200 as surgical cases, with outreach clinics at the Cheshunt Community Hospital.

The General Surgery department has seen considerable investment over the past few years in terms of resources. There are four consultant posts, an advanced nurse practitioner, additional staff grades, nursing and technician staff.
