Our client is a an event and subscription business which connects journalists and PRs, is now looking for an Events Executive to join their growing London team.
They operate from a central London offices at The Ministry in London SE1, an extraordinary workspace featuring bars, a garden, fitness rooms, spa facilities, a screening room, garden and many other facilities. We work full time at The Ministry. You willbe required to travel into the office 5 days a week.
Working across 4 brands the Events Executive will help deliver their events portfolio and play a key role in delivering seamless events year-round, including their flagship show and their awards platform. Their flagship show this year played host to over120 exhibitor travel brands and almost 300 journalists and influencers. Their Awards celebrates the greatest talents in travel journalism, PR, and influencers. Their portfolio of events continues to expand and includes their quarterly networking event forjournalists and PRs and a webinar series connecting hundreds of PRs with the nation's top travel journalists and editors.
The person appointed will work report into the UK's Deputy Managing Director. The role, solely focused on the UK, will suit a self-motivated, driven individual who can demonstration exceptional organisational skills, meticulous attention to detail and theability to work on multiple projects simultaneously.
- 6 months+ experience in event organisation and delivery
- The ability to interact confidently with sponsors, exhibitors, speakers, judges and media at all levels of seniority.
- Be an excellent communicator
- Have excellent organisational and planning skills
- Have an eye for detail and be meticulous in their approach
- Be a problem solver and a forward thinker
- Have good teamworking skills
- Possess an excellent knowledge of Excel/ Sheets and popular software platforms
- Show the ability precisely maintain customer data
**Responsibilities and Duties**:
- The Events Executive will play an integral part in organising and implementing multiple events across 4 different brands
- Liaise with relevant sales, marketing and senior management staff to ensure an understanding of the requirements for each event
- Communicate with all exhibitors & sponsors to ensure all assets are received & stored
- Liaise with designers and technical team to ensure all sponsors and exhibitors are promoted in line with their agreements both online and at events
- Act as the main point of contact for any event logistic queries
- Play an integral part in handling all logistics at events
- Work with the team to assist in securing top-level media to attend events
- Coordinate the meeting booking process for exhibitors, sponsors and media
- Work with the Business Development Director in managing the awards entry and judging process for the Awards
- Work, update and maintain data driven documents vital to managing target lists, guest lists and event logistics (Google docs / sheets etc) with confidence
- Demonstrate a natural aptitude for running event management tools, such as our Meetings Manager appointment bookings platform, to ensure the smooth running of our events
- Manage RSVPs and guestlists for all events, to include delegate liaison and badging
- Liaise with speakers to secure presentations, confirm attendance and timing
- Communicate with venues at pivotal points before events to ensure everything is on track
- Undertake other tasks to assist the team during non-event periods
