**Job Description - RABBLE Theatre Administrator**

Responsible to: Executive Team; Executive Director, Artistic Director and General Manager.

**Salary**: £24,000 a year (pro rata)

(Additional Front of House evening and weekend work is needed during productions)

Contract type: Employed

Base: RABBLE is currently looking for a new home in Reading. RABBLE’s Administrator will initially support the team both remotely and in-person collaborating with other RABBLE team members in their personal home-working environments, until such time that a base is found.

Purpose of the role

To provide office and basic financial administrative support, internal communication support and all other aspects of wider administration in RABBLE Theatre, as well as administrative assistance to the Executives (Artistic Director, Executive Director). Theatre Administrator is a new job role at RABBLE Theatre and therefore we expect that the duties and responsibilities outlined here will be developed and may be defined further over time.

Main

**Responsibilities**:
Personal Support

You will provide excellent administrative support to the Executives (Artistic Director, Executive Director) this will include; diary coordination, meeting arrangement and correspondence management.

Administrative Support

You will work closely with the General Manager offering support on the following duties and responsibilities. You will receive training and support as needed and will take on responsibilities over time.

General Administration
- Assist with maintaining excellent communication across the organisation including useful and appropriate communication protocols.
- Help maintain a clear and operationally effective administration and information support system for all areas of RABBLE including our Core team and our Production teams.

- Answering, forwarding and keeping across general correspondence to the theatre.
- Assist maintaining the RABBLE team diary/diaries.
- Support the General Manager to develop and maintain our Google Drive, ensuring folders are labelled clearly for all staff to know where to save and access documents.
- Assist with special events, meeting organisation and set up.

Education Administration

Manage all aspects of Administration for our weekly classes; Get Up On Stage, RABBLE Young Company, workshops and after school clubs including:

- Ensuring information on the website is up to date
- Processing enrollment forms, booking trials & communications with new students
- Maintaining accurate student details, emergency contacts & ensuring that registers are maintained
- Manage GUOS Whats App Groups ‘Term Group’ and ‘Community group’
- Assist Head of Education with administrative support as required
- Assist teachers with administrative support as required

Box Office
- Assist the Box Office Manager with managing Box Office during office hours including;
- answering phone queries,
- picking up messages,
- assisting with online bookings and
- other general enquiries.
- Support the Box Office Manager create all the audience paperwork for the onsite Front of House team
- Assist the General Manager recruit volunteers for our Front of House Teams
- Manage communications with the volunteers

RABBLE office
- To maintain the efficient running of the office and ensure that day-to-day administrative duties are carried out as required.
- Order office stationery and supplies and receiving of goods (incl office and production supplies)
- To book rooms for meetings and rehearsals as required.
- To keep a log of all room bookings and check this monthly against invoices for payment

Finance Administration
- Raise invoices for fees for classes and workshops
- Reconcile payments received for classes and workshops
- Chase outstanding payments for classes and workshops
- Work closely with the General Manager to maintain accurate budget forecasts for education and outreach programme.
- Pay in cash donations or payments to the bank account in person when required

General
- Attend read-throughs, sharings, Preview, Press and Supporters Nights and other RABBLE Theatre events as required.
- To keep up-to-date with productions and news in the theatre sector.
- Actively develop and implement green policies and practices for RABBLE Theatre
- Adhere to, and actively contribute to all RABBLE Theatre policies.
