This is an exciting opportunity to join the Department of Professional Healthcare Education as a Administrator / Course Co-ordinator.

The postholder will provide a comprehensive administrative and secretarial service to the Department of Professional Healthcare Education, supporting all aspects of the service across the Trust being flexible with regard to hours of work.

To organise and co-ordinate nationally accredited Life Support Courses and training for medical, nursing, midwifery and other health care professionals both locally and nationally.

To support the administration of resuscitation, clinical apprenticeships, clinical skills, placement development, preceptorship, OSCE Training and a broad range of mandatory training e.g. Moving & Handling, Conflict Resolution and Medical Devices/Gases.

To deputise in the absence of the Service Manager.

This extremely demanding post requires a particularly flexible and energetic individual, who enjoys handling a challenging department whilst possessing excellent communication, organisational and interpersonal skills and is approachable when dealing with enquiries from the public as well as staff within the Trust.

The Department of Professional Healthcare Education, liaises with all staff groups within the Trust and many external organisations, the Administrator and Course Co-ordinator is the main link between these groups. The Administrator and Course Co-ordinator must be extremely flexible regarding emotional and mental effort. The working pattern is generally normal office hours e.g. 09.00am - 5.00pm; this however is not always the case, especially for national courses. The service will require flexible working patterns to meet the needs of a multi-professional service.

**Preference will be given to internal Trust staff, as well as 'Priority' and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification.**

To undertake full administrative and co-ordination of any National Resuscitation Courses run by the Resuscitation Council (UK), Advanced Life Support Group (ALSG), The Royal College of Surgeons of England and the European Resuscitation Council co-ordinated by the department.
- Arranging a faculty for each course according to the course regulations, organising appropriate venues and catering.
- Organise equipment and arrange safe transfer to course venue.
- Ensure all teaching material and equipment is prepared ready for faculty.
- Invigilate post course examinations, ensuring answer sheets are marked correctly according to the course regulations.
- Ensure all post course paperwork is collated and forwarded to the appropriate governing body, within the required deadlines.
- Ensure electronic databases of all training remain updated within the required time frames.
- Produce finance reports following national courses.
- To type letters, reports and general documentation in an accurate and timely manner.
- To receive and deal with telephone enquires in a prompt and professional manner ensuring information is relayed accurately.
- To handle incoming post ensuring the members of the teams are aware of urgent and routine correspondence.
- To coordinate meetings, preparing agenda, taking minutes, preparing papers and circulating them to the appropriate people. Producing minutes within a set deadline.
- To maintain an effective and comprehensive filing system for routine and confidential information, allowing accurate retrieval if required.
- To prioritise work effectively, ensuring that service manager is notified of any potential problems in respect of workload output.
- Ability to prioritise tasks to work quickly and accurately responding to the needs of the department.
- To compile the necessary paperwork for training sessions
- Responsible for issuing invoices and ensuring payment is received promptly. As well as dealing with cheques, petty cash and financial matters for the department on a weekly basis.
- To order, check and rotate stock items, also deal with any financial implications to the department. This also includes purchasing stock through internal and external channels.
- To be of assistance in any audits undertaken by the department.
