An exciting opportunity has arisen for a senior administrator to support the Office Manager to deliver administration support to the Senior Leadership Team within the Learning Disability Service. We are seeking a highly motivated, experienced and enthusiastic individual to provide a comprehensive, high quality service.
You will be working in a very busy environment so the key attributes of the post holder include excellent organisational, communication, relationship and people skills, judgement, diplomacy and the ability to work calmly under pressure maintaining a professional attitude at all times.
**To establish effective working relation with the following**:
- Colleagues and healthcare professionals within the Learning Disabilities Service & BCHC.
- General public, patients, carers, customers and representatives.
- Learning Disabilities division administration team
- Provide a comprehensive administrative service to the Leadership Team on a day to day basis.
- To be responsible for effective diary management of multiple busy and complex electronic diaries within the team, ensuring management commitments are accurately recorded.
- Use own initiative to plan time effectively and prioritise all incoming work on a daily basis, including responding quickly, appropriately and communicating clearly in relation to urgent/important and unpredictable issues ensuring a high quality administrative service.
- Responsible for co-ordination of on-call rota and to escalate any request for ad hoc/late changes to the rota to senior managers and subsequently communicate any changes impacting on the delivery of the rota.
- Plan and organize meetings with colleagues and outside agencies using planning skills to determine the importance of meetings/events and organise them within an appropriate timescale.
- Prepare draft agendas, notify attendees, room bookings and producing and circulating minutes at the Leadership Team meetings and actively manage action logs, and provide other high standard service support for meetings as required, including note taking at formal disciplinary hearings.
- Follow up outstanding issues which emerge from Leadership Team meetings.

- The Learning Disabilities Service provides a range of services for people in the West Midlands to assist them in managing their learning disabilities (LD). All our services are provided by teams of clinical professionals and support staff who aim to provide integrated services in ways that best meet the needs of patients and their carers.
The post holder will work within the Learning Disability Service supporting the Leadership Team under the direction of the Office Manager and take a lead role in maintaining all aspects of a high level administration and business support on a day to day basis.
The post holder will have an ability to communicate with other members of staff at all levels, Health Professionals, outside organisations and the public in an efficient and effective manner due to the highly confidential and sensitive nature of information.
The post-holder may be required to travel to locations across the LD service.
- Responsible for the adaptation and design of visual aids/presentations/ newsletters/intranet pages as requested.
- To support with the coordination and organisation of service consultations as directed by the Leadership Team.
- Responsible for the organisation of functions/events inclusive of booking rooms, ordering refreshments and ensuring equipment is available.
- Accurate typing of reports some of which will be of a highly confidential and sensitive nature.
- Collect and distribute post appropriately.
- To be responsible for general photocopying, faxing, scanning, typing general ad hoc correspondence and other documents.
