It's a great opportunity to challenge and add value to client decision making, all while working with our passionate, friendly teams across the globe. **We are now looking for a Office Coordinator to join our team on a part time basis in Wallingford, Oxfordshire. This is an excellent opportunity for someone who has previously worked in a similar role and is looking to develop their experience, whilst being a part of an innovative and global organisation.** **This is a part time role for 20 hours a week.** **Responsibilities**: **Reception (primary role)** - Greet clients and visitors on arrival at Reception and offer refreshments. Inform relevant member of staff of the client/visitor’s arrival. - Liaise with cleaners to ensure Battle Barns is kept clean and presentable. In particular, the front of house, including the reception area, the drive, the entrance hall, the toilets and meeting rooms must always be clean and tidy. - Sort post on arrival and either deliver or inform the addressee that they have post or parcels. - Receive and sign for parcels. - Frank any outgoing post or parcels that are to be sent using Royal Mail. - Take lunch and refreshment bookings for any meetings requiring them and arrange any dietary requirements as necessary. - Ensure that the Boardroom is cleared after meetings (this may involve asking the attendees to do this). - Operate the telephone system. - Answer calls promptly and professionally, ensuring all calls reach their correct destination. - Liaise with the IT Team when faults occur on the telephone system. **Travel (Covering when needed, full training will be given)** - Travel also involves arranging long term travel and accommodation for employees coming to the UK for training. - On a daily or weekly basis taxis, trains and local accommodation needs to be arranged for other MMR RW employees coming to the Barns from other offices. - Ordering taxis for visitors as required. - Arrange and book hire cars or vehicles using Rabbits. - Supporting any adhoc requests from HR/ barns teams that may need support/ help with admin (printing, sorting, posting) marketing & training material (for example). **General** - Order stationery and kitchen stock when required. - Organise all contractors that are needed at the Barns : scheduling the work through to obtaining the invoice and raising the PO number. Liaise with the land agent (Adkin). **Health & Safety** - Involvement with the Fire Warden team, knowing the system, contacting Office Manager if there is a fault and liaising with MCFP who maintain the system. - Arranging fobs and lock up keys for employees and instructing them on the lock up and open up procedures and what to do if anyone reports a fault. - Issuing Visitor fobs when visitors arrive. **Requirements**: - Excellent communication skills, both written and verbal - Experience within a similar role - Highly organised and able to stay calm under pressure - Able to work in a fast paced environment - Drive to succeed and progress - Looking to be apart of a highly creative and innovative company - Live within commutable distance from Wallingford,Oxfordshire **Benefits** MMR is an equal opportunity employer.
