We are looking for an experienced Property Administrator to join our team in order to look after the day to day management of our portfolio of commercial properties and to also provide cover as and when needed on our residential portfolio.

We would assess each applicants’ skills and qualities on an individual basis.

The role is mainly office based, working 37.5 hours per week Monday to Friday, although in order to successfully manage the role there may be times when viewings will need to be undertaken in the early evening or at the weekend and the applicant will need to show a flexible approach to working hours.

The role of the Property Administrator will cover
- Managing an increasing number of serviced office multi-tenanted buildings.
- Booking and attending property inspections
- Deposit administration & managing refunds
- Booking Inventories & check in’s / check outs
- Ability to working alone, or with colleagues, with efficiency & discipline
- Ensuring properties are insured and dealing with any claims.
- Key management daily/weekly audits
- Contractor and cleaning company liaison and ensuring works are completed to the highest standard.
- Utility accounts
- Working with our internet providers for commercial properties only (tenant IT requests)
- Issuing notices and tenant / landlord correspondence
- Dealing with Maintenance queries
- Organising and arranging renewals
- Producing statements
- Dealing with Rent arrears
- Inputting of Purchase Invoices on Xero (training will be given if required)
- Daily reconciliation of Bank feed on Xero (training will be given if required)
- Ensuring all managed files are compliant
- Liaising with potential buyers and agents when properties are for sale
- Providing cover for the Residential Property Portfolio Manager as and when required

Ideal requirements of the Property Administrator are:

- 2 + years’ experience within a Property Management/administrator role
- Experience with Serviced offices and Commercial Office Property as well as Residential Property
- Driving license essential
- Some marketing experience including on social media would be beneficial.

You must be personable as you will be speaking to many people on a daily basis.

Enthusiasm to learn and excellent problem solving and mediation skills.

A strong administrative background with proven organisation skills is essential.* Knowledge of the property industry or experience with property management
- Intermediate level of experience with Microsoft Office’s Word, Excel and Outlook.
- Confidence to work with information systems/ databases. Sage, Xero, Landlord Vision experience preferred.
