To provide administrative support for the Children’s Safeguarding & Care Planning and Court Service and report to the Senior Safeguarding Business Support Officer. Working from the office would be between 1-2 days per week.

**SUMMARY OF RESPONSIBILITIES AND DUTIES**:
1. To provide administrative support to the Children’s Safeguarding Service.

2. To assist with the distribution of petty cash up to £250 and food vouchers for families.

3. To issue travel warrants as required by the service.

4. To ensure Birth Certificate order requests are processed and logged appropriately.

5. To process taxi and interpreter & translation bookings for the service.

6. Responsible for accurate and timely data entry onto Liquid Logic ensuring cases are kept up-to-date with real time information. This includes processing network updates, case reallocations, uploading case documents and correspondence and other sensitive information to be handled with care and efficiency.

7. To process highly sensitive case information received in referrals and 87a/b’s to the service from outside professional bodies and ensure information is tracked on Liquid Logic accurately and efficiently and inform the relevant team swiftly, to ensure prompt action for the service user.

8. To audit cases transferring into our service ensuring all statutory information is recorded and case details are logged accurately and to liaise with other departments as necessary to ensure the smooth transition of caseloads.

9. Answer frontline telephone calls and direct them as appropriate.

10. Maintain the accurate monitoring and tracking of case activity such as case transfers and Supervision Orders by way of updating Excel spreadsheets and ensuring accurate record keeping.

11. Assist with minute taking for Core Group and Child-In-Need Meetings to support the Minuting Team as and when required and ensure their swift and accurate upload to Liquid Logic.

12. To prepare and distribute agendas and relevant paperwork for CIN Panel / PLO Tracking / Legal Gateway Panel and S18 meetings.

13. Assist with minute taking CIN Panel / PLO Tracking / Legal Gateway Panel / Final Care Planning / S18 meetings, and any other meetings as and when requested by the Senior Business Support Officer.

15. To distribute all minutes for Core Groups and CIN Meetings in a timely manner.

17. Check incoming post and distribute/action as appropriate and despatch post.

18. Undertake any other duties commensurate with the level of the post, as required to ensure the efficient and effective running of the Service.

**Requirements**:
**SKILLS & ABILITIES**
- Must have competent numeracy and literacy skills with an accurate and high typing speed, at least 60wpm.
- Must be organised, have strong administrative skills, to include Excel, and excellent attention to detail.
- Experience taking minutes and accurately typing them up.
- Must be able to prioritise workload and work to deadlines.
- Professional telephone manner and attitude is essential, with excellent communication skills and experience dealing with a high volume of phone calls.
- Ability to use initiative and to be self motivated as well as working as part of a team.

**KNOWLEDGE**
- Basic knowledge of Children's Social Care and Data Protection.
- IT knowledge in Microsoft Office packages including Excel, and of Liquid Logic and any other databases employed by the council. Advanced knowledge of Microsoft Word.

**EXPERIENCE**
- Previous experience in an administrative capacity.
- Experience working with the public and handling client queries and issues.

**SPECIAL REQUIREMENTS**
- The post holder will have access to highly confidential information concerning staff in the service, children and families and so will be required to have considerable discretion and awareness of current Data Protection Acts.
- The post holder will be required to deal effectively and tactfully with service users, professionals and staff in the absence of the Senior Business Support Officer.
- To take part in regular supervision, and undertake training, as appropriate.
