Delivering Remarkable Customer Service

Underlining everything you do is the requirement to play your part in the delivery of remarkable customer services to our patients, internal colleagues and external stakeholders. This applies in all of your dealings. There are many elements to delivering remarkable customer service but common throughout are requirements to listen and be responsive, always ensure patient and customer messages and requests are passed on and ensure any mistakes or omissions and possible improvements that are identified are shared with your manager.

Job responsibilities:
To ensure that the dispensary operates as a profitable business unit within the practice and that maintaining, enhancing and optimising the profit of the dispensary is a key priority.

To work alongside the Lead Dispensing GP Partner to ensure that the Dispensary achieves the financial and operational objectives of the practice and to identify ways in which this can be improved.

To attend monthly planning and review meetings with the Lead Dispensing GP Partner to track progress against objectives and identify actions.

To provide operational support to Ash Lane Consulting in their ongoing work to maintain the financial/revenue assurance of the dispensary and ensure that identified actions are completed and maintained.

To action prescribing changes/alterations as identified by Ash Lane and/or any other external consultants, main wholesaler reps and/or Clinical Pharmacists to optimise and maintain profit within the dispensary.

To ensure that all purchasing decisions are aligned with the financial objectives of the Dispensary.

To work alongside the Finance Manager to ensure the timely and accurate recording of all financial transactions in the dispensary including cash and card payments/refunds and that takings are stored securely and banked promptly.

To ensure that all medicines and appliances dispensed are checked against the prescription and whenever there is doubt about the appropriateness of the item, or about the dose or labelling instructions to check with the authorising doctor or duty doctor.

To ensure all due prescription charges and ensure that the patient declaration on the reverse of the FP10 is duly filled in and signed by the patient.

To ensure that all monies received or handled on behalf of the practice are appropriately stored and banked, and a record kept of all financial transactions.

To ensure all prescription forms are endorsed appropriate, collate and forward the forms in a secure manner to the NHS Prescription Services for processing and reimbursement. The forms should be bundled in accordance with current PS guidelines and include any necessary accompanying paperwork such as the FP34D and invoices as required by the PS.

To notify the authorising doctor of any FP10 returns/feedback so that any appropriate remedial action may be taken.

To operate efficient stock control appropriate to the needs of the practice, with the objective of ensuring continuity of supply for patients and minimising wastage through out-of-date stock.

To ensure that drugs are stored in an appropriate manner in accordance with the accompanying instructions.

To ensure that shelves and all work surfaces are regularly cleaned to maintain a high level of hygiene within the dispensary and that all dispensary equipment is kept clean and is in good working order.

To take prompt action in response to any drug alert bulletins that may be received from time to time.

To ensure that refrigerated items are stored at the appropriate temperature and to maintain a temperature control record/logbook.

To maintain full and accurate records of all dispensing transactions, incorporating the use of computers when available and appropriate.

To work in accordance with the Practice Dispensing Standard Operating Procedures.

Review and update the Practice Dispensing Standard Operating Procedures annually or when there is a change to operating procedures.

To ensure that the practice DRUM target is met.

To ensure that the practice achieves all of the indicators set by the Dispensing Services Quality Scheme (DSQS)

To ensure that effective counter support for the dispensary is maintained including supporting patients/carers/relatives who are collecting medication/prescriptions.

To ensure that incoming repeat prescription requests are processed in a timely manner and that queries are raised/resolves with the prescribing doctor/nurse.

To act medication tasks as assigned to the dispensing team including liaison with the Primary Care Network Pharmacy Technician(s) and/or Clinical Pharmacist.
