**Main Job Purpose**

To assist and support the Property Manager with all aspects of their portfolio, including all administration.

**Main responsibilities and duties**
- Administering minor works
- Administering and managing routine maintenance contracts
- Administering Client contracts
- Administering various H&S reports across the portfolio
- Administering correspondence with clients and leaseholders
- Maintaining Qube with current property information
- Maintaining Property Spreadsheets
- Obtaining quotations from contractors
- Instructing and liaising with contractors
- Proactively follow up on all quote and instruction requests with suppliers.
- Actioning site visit reports
- Attending meetings and taking minutes as required
- Liaising with clients and leaseholders where required
- Managing Property Manager’s diary
- Answering calls made into the property management team
- Answering incoming and overflow calls
- Maintaining good housekeeping within the office
- Any other reasonable duties as and when required

**Supervision and Management**

Your Line Manager is the Senior Operations Administrator

The Property Managers are expected to work closely with their assistant and help manage workloads.

**Problem solving and creativity**

Property Management at its core, consists of solving problems on behalf of our clients. As such, we believe that problem solving skills are key, whether that problem is internal or external. The successful applicant will be able to identify potential issues and come up with a suitable solution that negates or minimises any negative impact to our Client or the Business. We believe that the best way to tackle an issue, is head-on with a positive attitude and expect that any applicant is able to demonstrate an optimistic outlook when dealing with problems or difficult situations.

We expect our team to challenge the way things are done and strive to make best use of the tools available to help improve efficiency and quality of service for themselves, teammates, and clients.

**Key Contacts and Relationships**

The Property Assistant works closely on a day to day basis with their Property Manager. In addition to this, you would be part of a wider administration team who are encouraged to support each other when the need arises. As part of the role, you would also be expected to liaise and work with staff members in the Accounts and Operations Teams.

It is imperative that strong relationships are built and maintained with clients, leaseholders, and contractors which are often best achieved by regular verbal or face to face contact.

**Working Environment**

Burns Hamilton has two offices very close to each other, our Head Office is situated at Hawthorn House, Lowther Gardens. The other office is a large modern, open-plan office on the top floor at Holdenhurst Road for the Block Management Property Team, the Legal and Compliance Team, the Major Works Team and the Lettings Team, which is where you will be based.

This role is predominately desk-based; however, there may be occasions where you are asked to visit a property, or to attend an external meeting.
