Receptionist with General Administrative Support

**Summary of Position**:
This role is to provide Receptionist duties and administrative assistance across several areas of the business. The duties are varied and the role ever evolving, as a result, flexibility and using your own initiative is critical. The role offers plenty of career progression and opportunities to the right person who shows passion and drive within the business.
Our receptionist desk is different to most as you are in the main office surrounded by the team with remote access to the visitor area therefore applicants must be comfortable working both as part of a team and independently as the need arises.

**Responsibilities**:
- Answering Incoming calls, door entry system and switchboard operation.
- Assisting with travel bookings including hotels, trains, and any air fares.
- Organisation of work functions.
- Maintaining the meeting room booking system.
- Making refreshments for visitors.
- Post, including in/outbound correspondence and deliveries.
- Meeting minutes.
- Stationery, office supplies and Uniform ordering and auditing.
- Scanning of documents to an in-house system (purchase ledger and sales files).
- Cleaning and replenishing coffee machine.
- Data entry (into excel spreadsheets)
- Assisting the finance department with Direct Debit processing, Sales order processing and Credit control.
- Administrative support to the Administration Department (this would include filing, photocopying, dealing with post, archiving).
**Skills Requirements**:
- Proficiency in Microsoft Office products.
- Be able to work pro-actively and with a sense of urgency while paying good attention to detail.
- Theabilitytoworkindependentlyandtakeinitiative.
- You should be energetic and self-motivated.
- High prioritisation and organisational skills with an ability to juggle multiple workloads.
- Exceptional communication skills. You will actively listen to and convey expectations, plans and outcomes effectively to internal and external stakeholders at all levels.
- Ability to respond to change in a positive and proactive way.
- Tact and Diplomacy.
- Discretion and trustworthiness: you will sometimes be party to confidential information.
