**Role Summary**

We are seeking a proactive and highly organised **Practice Administrator** to join our growing team at Jaccountancy UK Ltd. We are a tech savvy data enabled accounting firm that was started to trade around a purpose, quickly becoming one of the fastest growing accounting firms in Newcastle we are looking for a Practice Administrator to support the business and our team in the day to day operations.

This position is essential to the smooth day-to-day running of the practice, supporting client managers and ensuring administrative tasks are handled efficiently and accurately.

**Key Responsibilities**

**Administrative Support**
- Manage general office administration including scanning, filing, and uploading post and receipts to relevant software (e.g., DEXT, BrightManager, etc.).
- Distribute physical and digital post to the appropriate client manager promptly.
- Answer incoming phone calls and route them to the appropriate team members.
- Supporting the Practice Manager, Senior Client Managers and Client Managers

**Client Communication and Support**
- Chase clients for Anti-Money Laundering (AML) documentation and complete relevant risk assessments.
- Coordinate client onboarding, including data collection and CRM setup.
- Handle the client offboarding process including disengagement and updating systems accordingly.
- Request missing client data and ensure all relevant CRM fields and deadlines are up to date.

**CRM and System Management**
- Maintain up-to-date client records and deadlines within the CRM system.
- Ensure all task trackers and reporting dashboards reflect real-time updates for the team’s visibility.

**Compliance and External Coordination**
- Process and track HMRC authorisation requests (both manual and online).
- Liaise with other accountants for professional clearance — both receiving and providing required details.

**Payroll Support**
- Action new employee forms and upload them to the relevant Xero file prior to the payroll run.
- Notify the client manager of any changes or outstanding information.

**Relevant Skills & Experience**
- Prior experience in an administrative or support role preferably within an accountancy or professional services firm is preferred but not essential.
- Strong organisational skills and attention to detail.
- Confident communication skills — both written and verbal.
- Ability to handle multiple tasks and meet deadlines in a fast-paced environment.
- Proficiency in Microsoft Office and familiarity with accounting software (e.g., Xero, BrightManager) preferred.
- Discretion and respect for confidential information.

Pay: £24,000.00-£25,000.00 per year

Schedule:

- Monday to Friday
- Overtime
