**OVERALL ROLE PURPOSE**:
Reporting to the UK Manufacturing Manager, the Administration Coordinator role is a key role within the department, responsible for all administration through the department, whilst liaising with all other internal departments to ensure all orders are delivered.

The role includes creating reports for management; utilising the current management systems, ensuring all KPI information is readily available, and having an organised and methodical approach to all paperwork that goes through the department, ensuring there are no delays in manufacture.

**KEY ACCOUNTABILITIES AND ACTIVITIES**:

- Ensure all paperwork is delivered into the work room, making sure that any drawings have been added onto CRM, checking all specifications and that all information is relevant and clear for manufacture.
- Remove any over scanning that has been added to any live orders promptly, referring to IT alert and looking into ways of reducing this occurring in the future.
- Review all orders that have been over the quoted value stated, looking at both the material and labour costs and determining the root cause. Determine if any implementation of new working practices could be introduced to reduce these costs.
- Submit any cost changes to the Account’s team detailing the increase or decrease in cost to an order through materials or labour after an order has been booked in.
- Provide reports to the UK Manufacturing Manager, including the monthly timesheet listings, productivity & efficiencies, and also the breakdown of the productive vs non-productive scanning analysis, allowing Management to give feedback on Manufacturing performances against the KPI’s set in the department
- When required, complete necessary reports to ensure all consumables and costings have been allocated to the live Works Orders before booking into stock.
- Assist the UK Manufacturing Manager & Production Coordinator in completing and maintaining the department skills matrix on a regular basis.
- Create all relevant documentation and reports for the UK Manufacturing Manager to conduct appraisals for the team within the department. Ensure all scanning times are included, absence levels are noted, QoQ’s/rework details are included with costs and all paperwork is readily available.
- Attend Manufacturing project meetings regarding live and upcoming large orders, ensuring all information provided is clear and correct and the project can be delivered as efficiently as possible.
- Manage the reserved manufacturing hours within the capacity planner, linking in with key stakeholders to ensure these are won through or updated in a timely manner.
- Maintain good levels of communication with other departments within the Company to ensure good information is received into and from the Manufacturing team, this includes warehouse, logistics, sales, accounts & purchasing.
- Review and report any Quality issues that occur within the department, looking into ways to obtain and help implement preventative actions to reduce any further errors.
- Provide administrative assistance to the UK Manufacturing Manager where required.
- Provide adequate cover for the UK Manufacturing Manager with regards supply chain issues when the Manager is unavailable.
- Participate in and promote any Company schemes or Policies as and when required to further the development of the department and /or Company.
- Challenge existing work practices within and outside the department to improve service and efficiency levels ensuring the UK Manufacturing Manager is kept informed at all times.
