Organisation Details

The purpose of this role is to assist the MMO achieve its business objectives by providing an efficient and effective personal support service to MMO Directors. The post-holder will be responsible for providing high quality support to the Directors which will include diary management, travel arrangements and commissioning and providing information to ensure the most efficient and effective use of Directors time. In addition, the post-holder will play an active part in the directorate they are part of and will help ensure the delivery of projects and tasks undertaken by the Directors; develop strong relationships with internal and external contacts and provide resilience to the wider team which also supports the CEO and MMO Board. This would also include providing cover for other directors PAs to support non-working days and holidays

Occasional travel is required to support Directors at meetings and/or to provide support at Board and sub-committee meetings.

Job description

This is a really exciting time to join the MMO as we become an independent coastal state, embedding new repatriated functions and services with an increased focus on the protection and enhancing of the marine environment.

There are three roles available; PA to the Director of operations, PA to the Director of planning and change delivery and PA, to the Director of digital and analysis.

Operations - Directorate responsible for coastal operations, marine compliance, and fisheries management. The work this team carries out includes overseeing work to ensure and promote compliance with funding schemes and national sea fisheries regulations, marine licensing and marine nature conservation legislation. They support our fishing industry, providing fishing opportunities, informing negotiations to improve trading and quota allocations, licensing sustainable fishing activities, and monitoring, assuring and, when necessary, enforcing compliance with regulations.

Planning and Change - Directorate responsible for developing and maintaining the overall MMO strategy, defining and delivering the performance management framework for MMO. Responsible for service design, business analysis and transformation across MMO, lead all MMO communications and stakeholder engagement. Understanding and prioritising all potential change initiatives across MMO, delivery for all approved change projects and programmes. This is a directorate that is still building so there is significant amounts of recruitment and structuring which is going on within the directorate itself.

Digital and Analysis - Directorate responsible for delivery of statistical and analytical services within the MMO and additionally to Defra on fisheries, alongside ownership of evidence and evaluation. Also lead on the Data, technology and Innovation function to develop and maintains the MMO technology roadmap, including plans for remediation of legacy technology through to development of new capabilities.

**Provides support to the Directors**:

- Provide a high level confidential secretarial and administrative support service to the MMO’s Executive Team
- Facilitate and track work requests on behalf of the Directors and where appropriate collate and present information
- Track actions on behalf of the Directors with attention to any deadlines/requests for information
- Manage and maintain a diary of meetings and commitments, minimising travel time, and maximising work time for the Directors
- Ensure Directors have necessary documentation in advance of scheduled meetings allowing sufficient time to prepare
- Make appropriate travel and accommodation arrangements in line with Cabinet Office guidelines
- Arrange internal and external meetings/events, ensuring requisite facilities are available
- Provide secretarial support to meetings as requested including the preparation of agendas, collation of papers, minute taking and follow up actions
