Our Head Office department is located in the heart of Piccadilly and occupies the 5th & 6th floor of our beautiful flagship store. This central London location, offers so much to explore including restaurants, bars, cultural sites, shopping and more, and only a short walk from the Green Park Tube Station and plenty of bus stops.

**Role Purpose**:
The role holder will interact with multiple parties across the company including Fortnum’s Management Group, and other business leaders. In addition to supplying administrative support, the role holder will liaise regularly with the central functions and businesses, such as Commercial Finance, Marketing, Hospitality and Retail and our leadership team in Asia Pacific.

**Key Accountabilities**:

- Support the Directors of Online and Marketing & Communications with marketing administration, diary management and meeting organisation
- Support the wider team on departmental administration and requests
- Assist with product and sample requests adhering to internal processes
- Support the Directors of Online and Marketing & Communications with daily finance administration, including supplier liaison, raising POs, invoice submission - and all finance tracking to ensure payments are made to schedule and within budget
- Assist with all meetings, circulating agendas, printing, preparing trade reports, booking rooms, note taking and providing meeting recaps when required
- Assist with all PR requests and coverage, liaising with the PR agency and cross-functional teams to deliver requested samples and assets to schedule, completing and tracking all documentation, receiving returned samples and updating the press board
- Provide support on all internal filming and photography, managing access and security, contact liaison, and internal team briefings
- Manage product order requests, submitting requests and liaising with cross-functional teams to process orders. Support with gift bag fulfilment, collation and personalisation
- Manage the Hospitality Marketing account - and ensure all charges are cleared at month-end
- Affiliate Sales Validations - bi weekly/monthly
- Support Affiliate programme by collating copy and product into one doc to share with Affiliates
- Ad hoc Affiliate publisher checks for checking up to date info and imagery
- Managing Customer Erasure - GDPR Requests
- Update Restaurant & Store Opening times on Google Business & Trip Advisor
- Supporting the international marketing exec in HK campaign set up for paid social
- Supporting the Hospitality marketing manager to help plan, brief and set up Hosp. campaigns for paid social
- Excellent Microsoft office skills
- Excellent communication skills
