Receptionist / Administrative Assistant (Full-time)

**Job Summary**
We are seeking a friendly, organized, and professional Receptionist/Administrative Assistant to join our team. As the first point of contact for residents, families, and visitors, you will play a crucial role in creating a welcoming environment. You will also provide essential administrative support to ensure the smooth operation of the care home’s daily activities.
**Duties**
- Greet and welcome residents, families, visitors, and staff in a warm and professional manner.
- Answer, screen, and direct phone calls promptly and accurately.
- Handle general inquiries from residents, family members, and external contacts.
- Maintain the reception area to ensure it is clean, tidy, and welcoming at all times.
- Manage the sign-in and sign-out process for all visitors, ensuring the security and confidentiality of residents.
- Provide general administrative assistance to the Care Home Manager and other team members as needed.
- Handle incoming and outgoing mail, including sorting and distributing as required.
- Maintain and update electronic and paper records for residents, staff, and suppliers in accordance with GDPR and confidentiality policies.
- Schedule appointments, meetings, and maintain diaries for the care home manager and other key staff members.
- Assist with data entry tasks, such as updating resident records, staff schedules, and care plans.
- Order and manage office supplies and ensure all necessary materials are stocked and available.
- Act as a liaison between residents, families, and care home staff, ensuring clear communication and resolving any issues or queries promptly.
- Ensure that all visitors adhere to the care home's policies, including health and safety and infection control guidelines.
**Key Requirements: Education & Experience**:
- Previous experience in a receptionist or administrative role, preferably in a healthcare or care home setting.
- Excellent organizational and multitasking skills with the ability to prioritize tasks effectively.
- Strong communication skills, both written and verbal.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and experience with administrative systems.

- Ability to work independently as well as part of a team.
- Strong attention to detail and accuracy in all tasks.

- Willingness to assist with ad-hoc tasks and work flexible hours when necessary.
