Personal Assistant Hampshire(Full time)

We are looking for a dynamic and experienced PA to join the Health and Justice Division in our Hampshire team.

You will be responsible for providing a full suite of technical and administrative support to the Hampshire Service Manager and associated staff within the division. This will involve, amongst other things, providing a confidential, proactive and high quality personal assistant service.

About the Job

You will provide a first class, efficient, effective and confidential PA services to the Service Manager and Divisional Service Leads

You will provide and receive complex and sensitive information and ensure consistent flow of information to and from the Service Manager and Service Leads

You will manage a diverse workload and maintain a computerised diary system for the Service manager acting in a gatekeeper role for internal and external enquiries

You will need to arrange/co-ordinate meetings, preparing and distributing agendas and any supporting documentation as required. Taking /transcribing formal minutes of meetings and distributing them in line with terms of reference. Taking responsibility for follow-up actions of minutes

You will manage and maintain the divisional risk register on behalf of the Service Manager

You will ensure annual leave, training, appraisal and sickness absence records maintained producing monthly reports using E-roster, ESR and other methods. Highlight appropriate actions for non-adherence to policy to the Service Manager

**The “must haves” for you to be considered for this role**:
Higher National Certificate, Vocational Qualifications level 4 or 5, foundation degree, Higher National Diploma, diploma or equivalent level of knowledge.

Experience of minute taking and excellent oral and written communication skills

Knowledge of office and business administration systems and procedure

Enhanced skills of utilising Microsoft programmes/packages
